Job summary

Three Notch Group is seeking a detail-oriented Proposal Coordinator to support high-quality proposals, SOQs, and marketing materials. You will work with technical professionals, project managers, and leaders to coordinate pursuits from RFP/RFQ review through final submission.

The role emphasizes clear communication, organized scheduling, and collaboration to deliver compliant, client-focused deliverables on time. A relevant degree and experience in proposals are required.

Qualifications

• Bachelor's degree in Marketing, Communications, Business Administration, English, Journalism, Public Relations, Technical Writing, or a related field preferred.
• Minimum of 2–5 years of experience in proposal coordination, marketing, business development support, communications, or a related discipline.
• Experience coordinating proposals, Statements of Qualifications (SOQs), SF330s, letters of interest, or similar professional services pursuits preferred.
• Demonstrated ability to manage multiple deadlines, assignments, and priorities simultaneously.
• Experience working collaboratively with technical professionals, project managers, business development teams, and leadership.
• Knowledge of proposal-development processes, compliance requirements, and submission best practices preferred.
• Experience maintaining proposal databases, resumes, project descriptions, and qualifications information.
• Familiarity with CRM, proposal-management, document-management, or content-management systems preferred.
• Ability to maintain confidentiality and exercise discretion when handling sensitive information.
• Valid driver's license and ability to travel occasionally, if required.

Responsibilities

• Coordinate the development and submission of proposals, SOQs, SF330s, letters of interest, and other pursuit materials, ensuring deadlines and submission requirements are met.
• Review RFPs/RFQs, identify requirements, develop proposal schedules and compliance checklists, and coordinate assignments with pursuit teams.
• Partner with technical and business leaders to develop client-focused content, win themes, differentiators, project descriptions, resumes, and other proposal materials.
• Maintain accurate and current proposal resources, including employee resumes, project experience, firm qualifications, client information, and reusable content.
• Coordinate proposal schedules, internal reviews, staffing needs, and deliverables while proactively communicating deadlines and potential risks.
• Support proposal closeout, client debriefs, win/loss tracking, and lessons learned to continuously strengthen the company's pursuit process.
• Help maintain and improve proposal templates, standards, workflows, graphics, and quality-control practices.
• Responsibly leverage approved AI technologies and other emerging tools to improve the efficiency, quality, and consistency of proposal development and marketing deliverables.

Position Overview

Three Notch Group is seeking an organized, collaborative, and detail-oriented Proposal Coordinator to support the development of high-quality proposals, statements of qualifications, and other marketing and business development materials. This role will work closely with technical professionals, project managers, practice leaders, and other team members to coordinate pursuits from initial RFP/RFQ review through final submission.
