Job summary

Summit Line Construction, headquartered in Heber City, Utah, seeks a Proposal Coordinator to support the Estimating department by managing bids across projects company-wide, organizing documents, tracking deadlines, and ensuring deliverables meet formatting and content standards.

The role may report from Heber, Provo, or Draper after a 6-month training period in Heber; 1-2 days per week will be in Heber following training.

Qualifications

• Bachelor’s degree in Marketing, Communications, Journalism, English, or a related field preferred, with demonstrated proposal or technical writing experience.
• Strong project management and organizational skills with the ability to manage multiple projects.
• Excellent written and verbal communication skills with keen attention to detail.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and proposal management software.
• Proficiency in Microsoft Projects a plus.
• Ability to work under pressure and meet tight deadlines.
• Knowledge of construction processes, terminology, and industry standards is desirable, not required.

Responsibilities

• Receive, review, and analyze RFPs, RFQs, and RFIs to determine requirements and deadlines.
• Perform high-level reviews to interpret scope of work and deliverables.
• Distribute RFP documents to estimating and executive teams with scope, deadlines, and timelines.
• Track bid deliverables and ensure proposals comply with client requirements.
• Develop and maintain proposal schedules for timely completion.
• Serve as the main contact for proposal inquiries and client communications.
• Draft and edit narrative content for proposals with scope-of-work, technical and management summaries.
• Edit and unify content from estimators, PMs, safety, and QA/QC.
• Maintain boilerplate content and past-project descriptions for reuse.
• Collaborate to develop win themes and proof points.
