Job summary

Intrepidus Talent Solutions in Menlo Park, CA seeks an interim property operations and financial manager for a multi-tenant Class A office. The role focuses on continuity of operations, tenant service, and clean financial reporting during the assignment window.

The successful candidate will join an established property with existing systems and vendor relationships, becoming productive within two weeks with minimal ramp support. On-site 5 days weekly in Menlo Park.

Qualifications

  • 5+ years managing multi-tenant Class A commercial office property, ideally in California.
  • Hands-on experience with CAM estimates, recoveries, billbacks, and annual reconciliations.
  • Working accounting fluency: accruals, invoice review and coding, month-end close support, and general ledger review.
  • Available on-site in Menlo Park 5 days per week for the full assignment window.

Responsibilities

  • Conduct routine interior and exterior building inspections; document and resolve deficiencies.
  • Manage vendor and service contracts (janitorial, security, landscaping, HVAC, elevator, life safety); review scope, performance, and compliance.
  • Review and approve vendor invoices against contract terms and budget.
  • Coordinate with building engineering on preventive maintenance and reactive work orders.
  • Maintain and execute emergency response and life safety procedures; coordinate security.
  • Oversee tenant improvement and capital project activity in coordination with construction management.
  • Prepare and submit monthly operating reports, variance analysis, and reforecasts.
  • Oversee CAM estimates, recoveries, bill backs, and annual reconciliations.
  • Review invoices, accruals, and monthly financials; support month-end close, variance analysis, and general ledger review.
  • Monitor accounts receivable; document collection activity and escrow aged balances.
  • Administer leases: rent commencement and adjustments, billing, credits, reconciliations.
  • Support annual operating budget preparation if the assignment spans budget season.

CORE RESPONSIBILITIES
Property operations

Conduct routine interior andexterior building inspections; document and resolve deficiencies

Manage vendor and servicecontracts (janitorial, security, landscaping, HVAC, elevator, life safety);review scope, performance, and compliance

Serve as primary point ofcontact for tenant contacts and office managers

Conduct regular tenant check-insand respond to escalations

Support the leasing team ontours, renewals, and space marketing as directed

Transition

Maintain current property files,vendor logs, and tenant contact records

Produce a written hand off summary at assignment close covering open items, vendor status, AR position,and pending capital work

Requirements
REQUIRED QUALIFICATIONS

5+ years managing multi-tenantClass A commercial office property, ideally in California

Demonstrated ownership ofoperating budgets, monthly re-forecasts, and variance reports

Hands-on experience with CAMestimates, recoveries, billbacks, and annual reconciliations

Working accounting fluency:accruals, invoice review and coding, month-end close support, and generalledger review

Working proficiency in Yardi,plus a work order / tenant portal platform (Angus, Building Engines, Prism, orequivalent)

Experience managing vendorcontracts and construction or TI coordination

Strong written and verbalcommunication; comfortable as the owner's face to sophisticated tenants

Available on-site in Menlo Park5 days per week for the full assignment window

PREFERRED QUALIFICATIONS

RPA (BOMI), CPM (IREM), or FMAdesignation, or active candidacy

Prior interim, coverage, ortransition assignment experience

Peninsula or Silicon Valleymarket experience

Exposure to R&D, lab, orlife science building systems

Experience with high-growthtechnology, AI, or venture capital tenants

VTS and DocuSign proficiency
