Job summary

NRI Staffing Resources seeks an Assistant Portfolio Manager to support a premier residential property management client in Washington, DC. You will assist the Portfolio Manager in overseeing a portfolio of condo and HOA communities, ensuring smooth operations, accurate financials, and exceptional service to residents and boards.

The role requires a bachelor’s degree (or equivalent) and at least 2 years of residential property management experience, with familiarity in MS Office and property

Qualifications

  • Bachelor's degree preferred or equivalent combination of education and experience.
  • Minimum of 2 years of residential property management experience, preferably with condo or HOA.
  • Experience supporting multiple residential communities or a property portfolio.
  • Strong understanding of condominium association operations and governance.
  • Excellent customer service and conflict-resolution skills.
  • Exceptional written and verbal communication abilities.
  • Strong organizational and time-management skills with the ability to prioritize multiple assignments.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook).
  • Experience with property management software such as Vantaca, CINC Systems, TOPS, Yardi, or similar is preferred.
  • Ability to attend occasional evening board meetings.

Responsibilities

  • Assist the Portfolio Manager with the daily management of a portfolio of residential condo and HOA associations.
  • Serve as a primary point of contact for residents, board members, vendors, and homeowners.
  • Coordinate maintenance requests and monitor work orders to ensure timely completion.
  • Schedule and attend board meetings; prepare agendas, packets, and minutes.
  • Assist with contract administration, vendor management, and procurement of bids.
  • Review invoices for accuracy and coordinate payment processing.
  • Monitor association budgets and assist with financial reporting and budgets.
  • Ensure compliance with governing documents and local regulations.
  • Coordinate move-ins/outs, resident communications, and community notices.
  • Assist with annual meetings, elections, inspections, and special projects.
  • Maintain organized property files and management records.
  • Support emergency response and after-hours issues.

Education

Bachelor's degree preferred or equivalent
CMCA/AMS/PCAM designation (or willing to obtain)

Working alongside a Portfolio Manager, you will assist in overseeing a portfolio of residential condominium and homeowner associations while ensuring efficient day‑to‑day operations, financial accuracy, and outstanding customer service.

Key Responsibilities
  • Assist the Portfolio Manager with the daily management of a portfolio of residential condominium and homeowner associations.
  • Serve as a primary point of contact for residents, board members, vendors, and homeowners.
  • Coordinate maintenance requests and monitor work orders to ensure timely completion.
  • Schedule and attend board meetings as needed; prepare meeting agendas, board packets, and meeting minutes.
  • Assist with contract administration, vendor management, and procurement of competitive bids.
  • Review invoices for accuracy and coordinate payment processing.
  • Monitor association budgets and assist with financial reporting, reserve projects, and budget preparation.
  • Ensure compliance with governing documents, association policies, and applicable local regulations.
  • Coordinate move‑ins, move‑outs, resident communications, and community notices.
