Job summary

P&H Investment is seeking an organized Assistant Property Manager to support condominium and HOA portfolios. You will work closely with Property Managers to ensure smooth daily operations, liaise with Boards and residents, and assist with administrative and financial tasks.

The role emphasizes customer service, attention to detail, and the ability to coordinate maintenance and communications across communities. A driver’s license and on-site presence are required.

Qualifications

  • Associates or bachelor’s degree preferred in business, property management, or related field.

Responsibilities

  • Support daily management of assigned associations alongside Property Managers.
  • Serve as secondary contact for Boards, homeowners, residents, and vendors.
  • Prepare board meeting materials and follow-up documentation.
  • Respond to owner inquiries and service requests promptly and professionally.
  • Assist with owner communications, notices, newsletters, and violation correspondence.
  • Conduct routine property inspections to identify maintenance needs.
  • Create and track work orders using AppFolio.
  • Coordinate maintenance staff and vendors for repairs and preventive maintenance.
  • Maintain accurate records of maintenance activities and vendor information.
  • Assist with invoice processing, bid collection, and financial recordkeeping.
  • Support annual budget prep, reserve study coordination, and financial reporting.
  • Monitor compliance with governing documents and contracts.
  • Use AppFolio and MS Office to communicate and generate reports.
  • Contribute ideas to improve operations and resident satisfaction.
  • Maintain valid driver’s license and travel to communities as needed.
  • Attend in person as required by the role.
  • Perform other related duties as assigned.

Assistant Property Manager – Association/HOA Management

P&H Investment is seeking a highly organized, customer-focused Assistant Property Manager to support the management of a portfolio of condominium and homeowner associations. This role works closely with other Property Managers to ensure smooth day-to-day operations, provide exceptional service to Association Boards and owners, coordinate maintenance activities, and assist with administrative and financial tasks. Key Responsibilities
  • Assist the Property Managers in the daily management of assigned condominium and homeowner associations.
  • Serve as a secondary point of contact for Board members, homeowners, residents, and vendors.
  • Help prepare board meeting agendas, meeting packets, minutes, and follow-up documentation.
  • Respond promptly and professionally to owner inquiries and service requests.
  • Assist with owner communications, including notices, newsletters, community updates, and violation correspondence.
  • Conduct routine property inspections with Property Managers to identify maintenance needs and ensure community standards are maintained.
  • Create, track, and update work orders through completion using AppFolio.
  • Assist with the coordination of maintenance staff and vendors to schedule repairs, inspections, and preventative maintenance.

  • Regular, in-person attendance is required due to the collaborative and customer-facing nature of this position.

  • Experience with HOA/association management is a plus but not required.
Working Conditions
  • Full-time position with occasional evening or weekend work to assist with board meetings, community events, or emergency situations.
  • Work is performed both indoors and outdoors in residential settings.
