Project Specialist, Facilities

Department: Real Estate and Facilities

Campus Location: TCCD District Offices

Employee Classification: APT - Administrative

Pay Frequency: Monthly

Compensation Details: Starting Pay - 55,700.00; Commensuratewith education and experience

Work Hours: Monday - Friday 8:00am - 5:00pm

Remote Eligible: This position is not eligible for remotework

Job Summary

This role is responsible for administrative and business operationssupport including department operation, processes, coordination,and management of district-wide Real Estate and Facilitiesactivities.

Primary Duties and Responsibilities
Essential Performance Requirements*
  • Provides program task management support in operationsmaintenance, construction, and renovation of campus infrastructuresuch as finance, document records, archiving, procurement,workflow, and compliance
  • Prepares department process maps, program user guides andpresentation materials such as workflow creation, sourcereferencing and document writing
  • Supports administrative and operational functions for enterpriseand Integrated Workplace Management Systems
  • Directly monitors the development and management of RE&Fs'special projects, research, activities, and schedules
  • Assists in the oversight of the RE&F functional programscompliance and implementation issues related to budget,procurement, and contract management
  • Conducts research, audits, and prepares analytical schedules andreports regarding the responsibilities of RE&F functionalprograms
  • Liaises and coordinates with related departments
  • Coordinates office workflows, provides administrative support andassists with staff development and training
  • Addresses common process questions and issues
  • Reviews projects and contracts for compliance and takesappropriate actions to resolve discrepancies
  • Assists in the preparation of progress reports for the Board ofTrustees
Service Excellence
  • Participates on behalf of the College in external communityorganizations and associations as assigned to support the essentialperformance requirements
  • Attends the workplace regularly, reports to work punctually, andfollows a work schedule to keep up with the demands of theworksite
  • Completes all required training and professional developmentsessions sponsored through Tarrant County College (TCC)
  • Supports the mission, values, goals, and principles of theCollege

Required Minimum Qualifications
  • Associate's degree or sixty (60) college hours and three (3)years' working experience related to the Essential PerformanceRequirements; or equivalent combination of education andwork-related experience

  • Knowledge of project management, workflow creation, and processmapping
  • Skilled in delivering high-quality customer service and buildingeffective interpersonal relationships, including strong listening,verbal, and written communication skills
  • Skilled in using computer applications and enterprise systems,including the Microsoft Office suite and the Microsoft 365platform
  • Ability to perform and prioritize multiple tasks seamlesslyensuring accurate and timely completion, while exhibiting strongattention to detail and organization
  • Ability to work effectively both independently and as part of ateam in collaborative environments, engaging with faculty, staff,and external stakeholders
  • Ability to critically think to solve issues and escalatenon-standard problems using established procedures in a fast-pacedwork environment
  • Ability to analyze data and information and follow policies,procedures, and guidelines when completing assigned tasks
  • Ability to coordinate assigned work and communicate effectivelywith faculty and staff to support campus and departmentaloperations
  • Ability to maintain a high level of diplomacy and tact, ensuringconfidentiality and discretion with sensitive and confidentialinformation
