We are seeking a Department Coordinator who is experienced in developing, optimizing and facilitating administrative tools and workflows within an active department of Project Managers.

Essential Job Functions:
- Independently provide administrative support to the department including facilitation of project document review and approvals, routine and stage gate project read-outs.
- Collect, coordinate and report on departmental metrics.
- Identify, design, implement and drive process improvements in departmental processes, tools and workflows.
- Assist in the preparation of reports, presentations, and other documents as needed.
- Coordinate and facilitate communication within the department and with other departments.
- Maintain and organize department records and files.
- Assist in the planning and execution of department events and activities.
- Support the department in achieving its goals and objectives by providing timely and efficient administrative assistance.
- Handle confidential information with discretion and professionalism.
- Lead internal, cross-functional projects, conduct post-project reviews, collect and share lessons learned.
Special Job Requirements:
- Proven ability to manage multiple tasks and priorities in a fast-paced environment.
- Strong organizational and time management skills.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- A minimum of 2 years of relevant administrative or coordination experience.
- Proven consummate customer service professional; ability to forge strong customer relationships.
- Ability to respond to the unexpected quickly and constructively, while balancing tact, negotiation, and directness.
Additional Preferences:
- Experience in the pharmaceutical or biopharmaceutical industry, or other regulated space, is a plus.
- Ability and willingness to obtain PMP/PgMP certification.
- Undergraduate degree or equivalent.
