Job summary

Kirby Risk is seeking a Project Folder Coordinator in Indianapolis, IN to support the Project Management team with accurate document control and timely communication. You will manage virtual project folders, ensure records are up to date, and coordinate with departments to keep projects on schedule.

The role requires 2+ years in electrical products sales or project coordination, strong organization, and excellent communication skills.

Qualifications

• College-level coursework or equivalent work experience.
• 2+ years of experience in electrical products sales, project coordination, or a related field.
• Strong organizational skills with the ability to manage multiple projects, priorities, and deadlines simultaneously.
• Excellent attention to detail and commitment to accuracy.
• Strong interpersonal, written, verbal, and customer service skills.
• Proficiency with Microsoft Office and the ability to learn new business software and systems.
• A collaborative, team-oriented mindset with a passion for continuous learning and improvement.

Responsibilities

• Manage and maintain the virtual project folder site, ensuring project information remains accurate and up to date.
• Create, organize, and maintain project folders in accordance with Kirby Risk Project Management standards.
• Monitor project billing activity, vendor invoices, and change orders to help ensure accurate customer and vendor billing.
• Track project milestones, including submittals, shipping dates, and factory promise dates, while communicating updates to customers and internal stakeholders.
• Provide timely project status updates and reporting to account managers, inside sales teams, and management.
• Identify and report upcoming project opportunities through resources such as Dodge Reports.
• Collaborate across departments to ensure customer needs are met and projects remain on schedule.
• Represent Kirby Risk professionally in all interactions with customers, vendors, and fellow employees.
