Project Coordinator Remote (USA) Job Summary

We are seeking an organized, detail-oriented, and proactive Project Coordinator to support the planning, execution, and successful delivery of projects across multiple teams. The ideal candidate will coordinate schedules, track project milestones, maintain documentation, communicate with stakeholders, and ensure projects remain on schedule and within scope.

This is a fully remote position open to candidates located in the United States.

Key Responsibilities
  • Coordinate day-to-day project activities from initiation through completion.
  • Maintain project plans, timelines, milestones, action items, and deliverables.
  • Schedule and coordinate meetings with internal teams, clients, vendors, and stakeholders.
  • Prepare meeting agendas, take meeting notes, and distribute action items and follow-ups.
  • Track project progress, deadlines, dependencies, risks, and outstanding issues.
  • Maintain accurate project documentation, reports, status updates, and records.
  • Communicate project updates, changes, risks, and priorities to stakeholders.
  • Coordinate resources and support teams in meeting project deadlines.
  • Identify potential delays or roadblocks and **escalate** issues to Project Managers when appropriate.
  • Assist with project budgets, invoices, purchase orders, and expense tracking.
  • Monitor project requirements and ensure deliverables align with established objectives.
  • Support project reporting through dashboards, spreadsheets, and presentations.
  • Coordinate communication across cross-functional teams including operations, technology, finance, product, and business teams.
  • Assist with process improvements and develop standardized project-management workflows.
  • Maintain organized digital project files and ensure information is accessible to relevant stakeholders.
Required Qualifications
  • Bachelor's degree in Business Administration, Project Management, Operations, Communications, or a related field, or equivalent experience.
  • 1 3 years of experience in project coordination, operations, administration, or a related role.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and ability to manage multiple priorities.
  • Proficiency with Microsoft Office, particularly Excel, Word, PowerPoint, and Outlook.
  • Ability to coordinate multiple projects and deadlines simultaneously.
  • Strong problem-solving and follow-up skills.
  • Ability to work independently in a remote environment.
Preferred Qualifications
  • Experience with project-management methodologies such as Agile, Scrum, or Waterfall.
  • Experience with project-management platforms such as Jira, Asana, Monday.com, Smartsheet, Trello, or Microsoft Project.
  • Familiarity with Confluence, Slack, Microsoft Teams, or similar collaboration tools.
  • Experience preparing project dashboards and status reports.
  • Basic knowledge of project budgets, resource planning, and risk management.
  • PMP, CAPM, or other project-management certification is a plus.
  • Experience working with distributed or cross-functional teams.
