Job summary

Stebnitz Builders in Elkhorn, Wisconsin, seeks a proactive Project Coordinator to partner with the Remodeling Consultant, clients, vendors, and internal teams. You will coordinate client selections, collect bids, track costs, and ensure accurate information flows from selection through production.

You’ll manage multiple projects at different stages, follow up on outstanding items, and help ensure smooth transitions into production with precise documentation and communication.

Qualifications

• 3+ years of experience in a client-facing administrative, project coordination, customer service, design, or similar role preferred.
• Construction/remodeling/design experience is a plus.
• Strong organizational skills and attention to detail.
• Excellent follow-through and time management.
• Ability to manage multiple priorities and deadlines.

Responsibilities

• Attend client meetings with the Remodeling Consultant and take detailed notes.
• Coordinate client selections and showroom visits, and follow up on outstanding items.
• Gather product information and obtain bids from vendors.
• Keep bids, selections, and project information accurate and organized.
• Maintain project selections and updates in CoConstruct through contract signing and handoff to production.
• Track selection costs against project budgets.
• Communicate selection changes to the Production Coordinator and Production Manager.
• Assist with Change Orders and obtaining client signatures.
• Assist the Production Manager with ordering materials and verifying selections.
• Maintain regular communication with clients, vendors, and the internal team.
• Manage multiple projects, priorities, and deadlines.
• Identify missing information or potential issues and take ownership of getting them resolved.
• Attend project closings as needed.
