Job summary

SERVPRO of Roanoke, Montgomery, and Pulaski is seeking a Project Coordinator to support estimators and project managers, ensuring projects stay organized and on schedule. You will liaise with customers, insurers, vendors, and field crews from the office to maintain momentum and quality of service.

The role emphasizes strong organizational skills, attention to detail, and customer-focused communication, with opportunities for professional certification and growth within the SERVPRO team.

Qualifications

  • High school diploma or GED required.
  • Associate's or Bachelor's degree preferred.
  • Previous administrative or office experience preferred.
  • Strong customer service, verbal and written communication skills.
  • Excellent organizational and time-management abilities.
  • Experience in restoration, cleaning, or insurance is a plus.

Responsibilities

  • Support Estimators and Project Managers and coordinate multiple projects.
  • Maintain clear communication among office, field teams, customers, insurers, and vendors.
  • Prepare preliminary service estimates and review for accuracy.
  • Handle contracts, invoices, submittals, estimates, change orders, and closeouts.
  • Maintain organized project files and documentation.
  • Assist with billing information and collections as needed.
  • Provide timely project status updates to stakeholders.

You'll help maintain communication between the office, field teams, customers, insurance representatives, and vendors while keeping projects organized and on schedule.Project & Job File CoordinationSupport and coordinate the work of multiple Project Managers, Estimators, and production teams.Identify and help remove barriers that could prevent successful project completion.Monitor project and job file status from beginning to closeout.Maintain accurate and organized project files and documentation.Review and validate initial field documentation.Prepare preliminary and emergency service estimates.Review estimates for accuracy and consistency with field documentation and client/insurance guidelines.Prepare and track contracts, invoices, submittals, estimates, change orders, and supplements.Complete job file audits and assist with final job closeout.Perform job file backups and maintain work-in-progress (WIP) documentation.Provide timely project status updates to Project Managers and Estimators.Customer & Team CommunicationServe as a primary point of contact for customers, vendors, Project Managers, Estimators, and other project partners.Maintain clear and timely internal and external communication throughout the project.Assist with customer questions and escalations and help ensure concerns are addressed promptly.Assist with answering phones and sending First Notices of Loss (FNOL) as needed.Assist with insurance adjuster communication when needed.Facilitate customer warranty documentation and Certificates of Satisfaction (COS).Production SupportCollect and review daily production site reports and Drybook documentation.Work with Crew Chiefs/Lead Technicians to identify and make necessary updates.Coordinate deliveries of dumpsters, portable restrooms, and other project-related needs.Develop customer material allowances and selection sheets.Assist with ensuring projects meet applicable insurance and compliance requirements.Help ensure accurate and timely billing information is provided to Accounts Receivable.Assist with collections when needed.What We're Looking ForThe ideal candidate is someone who is organized, dependable, detail-oriented, and able to communicate effectively with a variety of people.
