Qualifications

  • 2–4 years of experience in administration, project coordination, office support, or related role.
  • Experience in professional services, consulting, financial services, legal, accounting, private equity, recruiting, or similar environment is a plus but not required.
  • Strong proficiency with Microsoft PowerPoint, Word, Outlook, and Excel.
  • Excellent document formatting and presentation-building skills.
  • Highly organized with exceptional attention to detail.
  • Strong written and verbal communication skills.
  • Confident communicating with senior-level professionals.
  • Proactive and able to own tasks without direction.
  • Ability to prioritize multiple deadlines and shifting responsibilities.

Responsibilities

  • Prepare and update weekly project/search update presentations using PowerPoint and PDF.
  • Create and format professional profiles, resumes, reports, presentations, and other client-facing documentation.
  • Assist with preparation of pitch decks and new business materials.
  • Ensure presentations and documents are accurate, polished, and timely.
  • Coordinate multiple projects and administrative priorities simultaneously.
  • Proactively identify outstanding tasks and follow up with team members to keep projects moving.

Compensation: $33.65/hour

Position Overview

A growing global professional services firm is seeking a proactive, organized, and energetic Project Coordinator to join its Miami office. This individual will play an integral role in supporting a collaborative team of professionals while managing a combination of administrative, project coordination, office management, and marketing responsibilities.

Approximately 70% of the position will focus on administrative and documentation support, including preparing presentations, reports, candidate profiles, and other client-facing materials. The ideal candidate is detail-oriented and polished, but also brings a confident, outgoing personality and is comfortable taking initiative, communicating across seniority levels, and helping create a positive office culture.

This is an excellent opportunity for someone with 2–4 years of administrative, project coordination, executive support, or professional services experience who is interested in taking on increasing responsibility as the organization grows. There is potential for the position to develop into an Office Manager role within the next 1–2 years.

Key Responsibilities
Administrative & Project Support
  • Provide day-to-day administrative and project coordination support to Principals, Partners, and Consultants.
  • Prepare and update weekly project/search update presentations using PowerPoint and PDF.
  • Create and format professional profiles, resumes, reports, presentations, and other client-facing documentation.
  • Assist with the preparation of pitch decks and new business materials.
  • Ensure presentations and documents are accurate, polished, consistently formatted, and completed within deadlines.
  • Coordinate multiple projects and administrative priorities simultaneously.
  • Proactively identify outstanding tasks and follow up with team members to keep projects moving forward.
Calendar, Travel & Scheduling
  • Coordinate calendars, meetings, and interview schedules for members of the team.
  • Assist with travel planning and itineraries.
  • Coordinate internal training sessions, meetings, and other team activities.
  • Communicate effectively with internal and external stakeholders regarding scheduling and logistics.
Office Management
  • Support the smooth day-to-day operation of the Miami office.
  • Maintain office supplies and ensure the workspace remains organized and well stocked.
  • Serve as a point of contact for building management and other office-related vendors as needed.
  • Help identify opportunities to improve office processes and overall efficiency.
Marketing & Social Media
  • Assist with posting company marketing content on LinkedIn and future social media channels.
  • Support basic coordination of marketing initiatives and company updates.
  • Help maintain a polished and consistent external brand presence.
Events & Special Projects
  • Assist with company-wide initiatives, including global team trips, charity programs, and internal events.
  • Support planning for social events, including holiday and summer activities.
  • Take ownership of ad hoc projects as the Miami office and broader organization continue to grow.
Qualifications
  • Ideally 2–4 years of experience in administration, project coordination, office support, executive support, or a related position.
  • Experience within professional services, consulting, financial services, legal, accounting, private equity, recruiting, or a similar corporate environment is a plus but not required.
  • Strong proficiency in Microsoft PowerPoint, Word, Outlook, and Excel.
  • Excellent document formatting and presentation-building skills.
  • Highly organized with exceptional attention to detail.
  • Strong written and verbal communication skills.
  • Confident communicating with and supporting senior-level professionals.
  • Proactive and comfortable taking ownership rather than waiting for direction.
  • Ability to effectively prioritize multiple deadlines and shifting responsibilities.
  • High-energy, positive, collaborative personality with an interest in contributing to office culture.
  • Comfortable working independently as well as part of a small, close-knit team.
  • Familiarity with AI tools and using technology to improve efficiency is a plus.
  • Bachelor’s degree is not required; relevant experience, skills, and overall fit will be prioritized.
