Job summary

KPFF Consulting Engineers is seeking a detail-oriented professional to join the Planning Team in Seattle. The hybrid role will support contract controls, schedule coordination, and project billing to ensure work remains within scope and budget.

You will assist multiple project managers, prepare subconsultant agreements, manage workload forecasts, and contribute to proposals and fee estimates in a collaborative environment. Strong communication and organization are essential.

Qualifications

• 2-5 years of finance, accounting, administrative, or business support experience.
• Associate's or bachelor's degree in Finance, Accounting, Business, or related field preferred, but not required with relevant experience.
• Microsoft Office Suite: Advanced Word and Excel, Project, PowerPoint
• Efficient time management and ability to manage multiple priorities and meet deadlines in a fast-paced environment.
• Enjoys challenges, positive and self-motivated
• Dependable and ability to work independently
• Effective verbal/written communication style appropriate for professional team setting
• Strong attention to detail with a focus on accuracy and organization
• Comfortable working with financial data, reports, invoices, and budgets
• Ability to work professionally with individuals at all levels of the organization
• Take initiative and have fun!

Responsibilities

• Contract Administration and Project Controls
• Manage contract scope and fee compliance for all projects and lead coordination with clients regarding contracting and invoicing
• Set up and manage spreadsheets for fee estimates, cost tracking and billing
• Prepare subconsultant agreements
• Develop and maintain project schedules
• Project Accounting, including budget tracking and management, and project set up
• Process subconsultant invoices and manage communication with subconsultants regarding invoicing requirements
• Review/prepare project invoices and progress reports
• Planning Team Program Support
• Prepare billing and workload forecasts
• Draft scopes of work and fee estimates for proposals, including review of proposal requirements and preparation of documentation
• Support team operations as needed in a collaborative environment
