Job description

The Project/Billing Coordinator provides organizational services to the branch with respect to contracts and billing. This individual will have direct accountability for contract management and billing functions in the branch.

Responsibilities

• Communicates, tracks, and files all contracts in the branch from proposal stage to executed contract.
• Ensures no material ships to projects without signed contracts.
• Works with sales and creates change orders for the client when scope exceeds original contract amount.
• Notates all billing information in Discos II as per the executed contract.
• Invoice clients as per contract documents.
• Ensures all billing in Discos II matches the contract documents on BOL by BOL basis.
• Handles all customer certificate of insurance requests.
• Files all preliminary notices with CRM upon completion of first shipment.
• Oversees all credit requests process from sales, comparing to contract documents to determine if credit request is valid and should be approved by area manager.
• Generates all credit request documents for approval.
• Provides sales with copies of OFI’s, invoices, and any billing supporting documents.
• Closes projects in Discos II.
• Sets up new customers in Discos II.
• Sets up new projects and jobsites in Discos II.

Qualifications

• HS Graduate or equivalent technical school education.
• Bachelor’s Degree in Business preferred.
• 5 years recent experience in administration, finance or operations a plus.
• Facilitates projects and effectively manages multiple tasks.
• Excellent communication skills including an excellent command of English (speaking, reading, writing). Able to communicate effectively with all levels of management and staff.
• Qualitative abilities including strong analytical skills, technical proficiency, and effective problem-solving skills.
• Computer proficiency including Word, Excel, PowerPoint, and Outlook.
• Willing and able to learn new products, concepts, and techniques.
• Organized team player able to work in a deadline-driven, results-driven fast-paced environment.
