Job summary

Aventia is seeking a Project Accounting Technician/Biller in Madison, NJ to handle billing, project setup, data entry, and coordination with project managers. This full-time, in-office role emphasizes accuracy, organization, and strong communication in a fast-paced, project-based environment.

The ideal candidate will have 3+ years of accounting or billing experience; Deltek Vision or Vantagepoint experience is preferred, along with solid Excel skills. Competitive benefits are offered.

Qualifications

• 3+ years of experience in accounting, billing, project accounting, or financial administrative support.
• High school diploma or equivalent required; associate or bachelor’s degree preferred.
• Experience working in or supporting project-based businesses; A&E industry experience preferred.
• Hands-on experience using accounting ERP systems; Deltek Vision or Deltek Vantagepoint preferred.
• Proficiency in Microsoft Excel, including formulas, formatting, sorting, filtering, and data review.
• Ability to follow procedures, manage competing priorities, and meet billing deadlines.
• Strong attention to detail, accuracy, organization, and time management.
• Strong verbal and written communication skills with project managers and internal teams.

Responsibilities

• Assist with project setup in the accounting system, including inputting contract terms and billing methods.
• Develop relationships with project managers to keep project and billing data accurate.
• Generate and submit invoices in accordance with contracts and milestones.
• Support data entry and maintenance of project financial records in Deltek and other systems.
• Coordinate with staff to gather required documentation for billing and project initiation.
• Monitor billing status and follow up on items to ensure timely invoicing.
• Review subconsultant invoices and backing docs before AP submission.
• Maintain billing logs and reports, including uploads to client portals as needed.
• Prepare audit-ready billing and project records with organized backups.
• Provide general project accounting support to finance and project teams.
• Assist AR and collections by monitoring invoices and coordinating with clients.
