Job summary

Felix Construction in Phoenix is seeking a highly organized Project Assistant to support our Industrial Controls team. You will work with Project Managers, fabrication staff, vendors, and field crews to deliver projects efficiently and accurately through strong document management, procurement support, material tracking, and coordination.

Qualifications

• Strong organizational and time management skills.
• Excellent attention to detail and follow-through.
• Ability to manage multiple priorities in a fast-paced environment.
• Strong written and verbal communication skills.
• Proficiency with Microsoft Office and project-related documentation.
• Construction, engineering, manufacturing, industrial services, or project coordination experience is a plus, but not required.

Responsibilities

• Prepare and route RFIs, Purchase Orders (POs), Subcontracts, and Purchase Agreements.
• Track document status and proactively communicate updates to project stakeholders.
• Assemble and distribute project submittals and Operations & Maintenance (O&M) manuals under the guidance of assigned Project Managers.
• Maintain accurate and accessible project records, including submittals, material logs, and technical documentation.
• Support multiple Project Managers as workload demands require.
• Coordinate with fabrication and warehouse personnel to verify material deliveries are accurate and complete.
• Inspect project deliveries, when required, to ensure materials comply with project requirements.
• Assist with tracking materials and maintaining project inventory records.
• Manage priorities effectively and work independently to meet project deadlines and organizational goals.
