Job summary

Felix Construction in Phoenix, AZ is seeking a highly organized Project Assistant to support our Industrial Controls team. You will coordinate multiple tasks, assist project execution, and help teams stay organized and on track.

You’ll work with Project Managers, fabrication staff, vendors, and field teams to help ensure projects are delivered efficiently and accurately. You will play an important role in document management, procurement support, material tracking, and project coordination while

Qualifications

• Strong organizational and time management skills.

• Ability to work both independently and collaboratively within a team.
• Construction, engineering, manufacturing, industrial services, or project coordination experience is a plus, but not required.

Responsibilities

• Prepare and route RFIs, POs, Subcontracts, and Purchase Agreements.
• Track document status and proactively communicate updates to project stakeholders.
• Assemble and distribute project submittals and O&M manuals under the guidance of assigned Project Managers.
• Maintain accurate and accessible project records, including submittals, material logs, and technical documentation.
• Support multiple Project Managers as workload demands require.
• Coordinate with fabrication and warehouse personnel to verify material deliveries are accurate and complete.
• Inspect project deliveries, when required, to ensure materials comply with project requirements.
• Assist with tracking materials and maintaining project inventory records.
• Manage priorities effectively and work independently to meet project deadlines and organizational goals.
• Maintain a safe working environment by following company safety policies and procedures.
• Provide additional project support wherever needed to help project teams succeed.
• Attend project and client meetings alongside Project Managers.
• Conduct job site visits to track project progress and document action items.
• Take meeting notes and assist with follow‑up coordination.
• Deliver materials to project sites while professionally representing the company.
• Expand your knowledge of project management, construction operations, and industrial controls systems.

Felix Construction is seeking a highly organized and detail‑oriented Project Assistant to support our Industrial Controls team. This role is ideal for someone who enjoys coordinating multiple tasks, supporting project execution, and helping teams stay organized and on track.

As a Project Assistant, you'll work closely with Project Managers, fabrication staff, vendors, and field teams to help ensure projects are delivered efficiently and accurately. What You’ll Do

Project Administration & Coordination

• Prepare and route Requests for Information (RFIs), Purchase Orders (POs), Subcontracts, and Purchase Agreements.
• Track document status and proactively communicate updates to project stakeholders.
• Assemble and distribute project submittals and Operations & Maintenance (O&M) manuals under the guidance of assigned Project Managers.
• Maintain accurate and accessible project records, including submittals, material logs, and technical documentation.
• Support multiple Project Managers as workload demands require.

Material & Delivery Support

• Coordinate with fabrication and warehouse personnel to verify material deliveries are accurate and complete.
• Inspect project deliveries, when required, to ensure materials comply with project requirements.
