Job summary

RiseBoro Community Partnership in New York, NY seeks a Fleet Supervisor to oversee MOW Drivers and Deliverers, coordinate daily staffing, and ensure vehicle readiness and safety. Qualifications

  • Basic knowledge of vehicle maintenance and safety protocols.
  • Ability to start a 7:00 a.m. work shift and manage schedules.
  • 2–5 years’ experience managing teams with varied seniority.
  • Valid driver’s license and clean driving record.
  • Strong attention to detail and reporting skills.
  • Proficiency with Microsoft Word and Excel for reporting.
  • Experience supervising teams is preferred.
  • Must read/write/speak English fluently.
  • Physical ability to walk distances and climb stairs, if needed.
  • Knowledge of local area and route planning abilities.

Responsibilities

  • Provide supervision and direction to MOW Drivers and Deliverers.
  • Coordinate daily staffing patterns and provide daily coverage plans.
  • Assess the need for external resources to ensure timely meal delivery.
  • Ensure fleet vehicles are operational and compliant with guidelines.
  • Maintain real-time communication systems for route emergencies.
  • Oversee vehicle communications systems (phones, cameras, geo trackers).
  • Drive routes during emergencies and coordinate routine maintenance.
  • Schedule repairs and coordinate budgets with leadership.
  • Coordinate vehicle drop-offs/pickups for repairs.
  • Manage gas cards, receipts, and fuel usage logs.
  • Inspect vehicle cleanliness and ensure maintenance supplies.
  • Maintain parking lots and ensure proper contract parking.
  • Audit routes for time and cost efficiency and staff adherence.
  • Liaise with caterer to resolve delivery quantity issues per route.
  • Assist in onboarding meal expeditors for routes/vans.
  • Document incidents with employees and report to Risk Management/Legal.
  • Identify fleet development areas and coordinate trainings.
  • Create systems documenting adherence to vehicle maintenance standards.
  • Perform other related duties as assigned.

Job description

Schedule:

Monday through Friday 7am-3pm

Essential Duties And Responsibilities
  • Provide supervision and direction to MOW Drivers and Deliverers
  • Responsible for coordinating and monitoring the daily Driver/Deliverer staffing patterns, and plans for daily coverages daily and updates MOW team accordingly
  • With approval from a superior, determine whether external resources are need to ensure timely daily meal delivery to seniors
  • Responsible for ensuring that vans are operational and available to meet the daily execution of the meal delivery routes; responsible for ensuring that all vehicles meet the operational guidelines and standards outlined by DFTA and Risk Management/Legal and possess the documents needed to be on the routes
  • Ensure that there are systems of communication in place with the fleet to ensure the triaging of emergency situations on the routes are being handled in real time
  • Responsible for ensuring that all communication systems on the route are operational and are being managed properly - mobile phones, van cameras and geo trackers
  • Drive routes in emergency situations
  • Coordinate maintenance for the program vehicles, including ensuring that mileage and weekly logs of fueling, oil checks, and cleaning is maintained by each Driver
  • Schedule repairs or maintenance work, and coordinates with the Associate Director and the Bookkeeper to ensure budgetary capacities are considered
  • Responsible for coordinating the drop off and pick up of vehicles requiring repairs
  • Disburse all gas cards following policy and ensure that gas receipts and logs are being maintained to ensure that vehicles are using fuel for only MOW transportation
  • Inspect cleanliness of vehicles and ensure that the fleet has the proper supplies needed for maintenance.
  • Responsible for maintaining parking lots including monitoring garbage and placing garbage bags on the street as scheduled by the landlord and building super
  • Oversee vehicles are being parked in designated parking spot ensuring contract compliance is maintained
  • Audit routes as instructed to determine time and cost effectiveness in delivery schedule, and employee shift adherence
  • Liaise with the caterer as needed to reconcile problems with meal delivery amount per route
  • Assist in managing the meal expeditors at the caterer to ensure smooth and timely on boarding of meals on the routes/vans
  • Work with the MOW leadership to cull all information and documents related to incidents with employees as it relates to accidents and incidents; ensure that these reports are submitted in a timely manner to Risk Management/Legal
  • Assist the MOW leadership identify general areas of development for the fleet and help seek resources and schedule trainings that help meet the standards outlined by DFTA
  • Responsible for creating systems that document adherence to all standards specific to vehicle maintenance in preparation for audits by the Department for the Aging
  • Perform other related functions delegated or assigned by their supervisor.
COMPETENCIES
  • Basic knowledge of vehicle mechanics and maintenance
  • Ability to start a 7:00 a.m. work shift
  • 2-5 years’ experience managing teams with various levels of seniority
  • Valid driver's license and be a licensed driver for at least 2 years
  • Strong attention to detail
  • Proficiency in Microsoft Word and Excel for the purposes of creating reports
  • Supervisory experience preferred
  • Ability to read, write, and speak English
  • Ability to walk distances and climb stairs
  • Knowledge of area preferred and/or ability to search addresses and follow directions
