Job summary

Howard University’s School of Business seeks a Program Coordinator to oversee the Digital Learning & Innovation Space, managing daily operations, access, scheduling, and user engagement. You will deliver excellent service to students, faculty, staff, alumni, and partners.

You will develop programming to promote innovation and experiential learning, coordinate events, manage equipment, and collaborate with IT and facilities to ensure secure, well-maintained spaces supporting collaboration.

Qualifications

  • Bachelor's degree in Business Administration, Higher Education Administration, Event Management, Hospitality Management, or Communications.
  • Three (3) years of progressively responsible experience in program coordination, facility management, event management, higher education administration, innovation programming, or related experience.
  • Equivalent combinations of education and directly related experience may be considered in accordance with university policy. 10 years of related work experience may be substituted in lieu of educational qualifications.

Responsibilities

  • Manage the daily operations of the two-level Digital Learning & Innovation Space, ensuring areas are functional, welcoming, and configured for scheduled activities.
  • Coordinate scheduling and reservations for the space, conference room, collaboration areas, and related facilities using scheduling systems.
  • Serve as the primary point of contact for all users of the facility with scheduling assistance and customer service.
  • Perform opening and closing procedures, ensuring security and operational readiness each day.
  • Coordinate room configurations, audiovisual requirements, and technology support for meetings, workshops, and events.
  • Develop annual programming calendars in collaboration with faculty, student organizations, and external partners.
  • Monitor utilization and recommend strategies to increase engagement and efficiency.
  • Maintain inventories of equipment and coordinate repairs and replacements as necessary.
  • Coordinate with IT and Facilities Management to keep technology systems and infrastructure operational.

Basic Function

Coordinates the daily operations, programming, scheduling, and administration of the School of Business Digital Learning & Innovation Space. The Program Coordinator is responsible for ensuring the effective operation of a two-level collaborative learning environment by managing facility access, reservations, programming, technology-enabled events, and user engagement. The position oversees the daily operation of the innovation space, conference room, and associated learning environments while providing exceptional customer service to students, faculty, staff, alumni, and external partners.

The Program Coordinator develops programming that promotes innovation, entrepreneurship, collaboration, and experiential learning while ensuring the facility is maintained, secured, and operated in accordance with university policies and established procedures.

Supervisory Accountability

Has responsibility for directing student employees, interns, graduate assistants, temporary employees, and volunteers supporting operations within the Digital Learning & Innovation Space.

Nature And Scope

Internal contacts include university leadership, faculty, staff, students, Information Technology, Facilities Management, Public Safety, Communications, and other campus departments.

External contacts include corporate partners, guest speakers, alumni, vendors, community organizations, contractors, and visitors utilizing the innovation space.

Principal Accountabilities
  • Manage the daily operations of the two-level Digital Learning & Innovation Space, ensuring all areas are functional, welcoming, and appropriately configured for scheduled activities.
  • Coordinate scheduling and reservations for the innovation space, conference room, collaboration areas, and related facilities using university scheduling systems.
  • Serve as the primary point of contact for all users of the facility by providing scheduling assistance, operational guidance, and customer service.
  • Perform opening and closing procedures for the facility, ensuring spaces are secure, technology is powered appropriately, and operational readiness is maintained each day.
  • Coordinate room configurations, furniture layouts, audiovisual requirements, and technology support for meetings, workshops, conferences, classes, and special events.
  • Develop annual programming calendars in collaboration with faculty, student organizations, university departments, and external partners.
  • Monitor utilization of the facility and recommend strategies to increase engagement, student participation, and operational efficiency.
  • Maintain inventories of equipment, technology assets, furniture, supplies, and consumables while coordinating repairs, maintenance, and replacement as necessary.
  • Coordinate with Information Technology and Facilities Management to ensure all technology systems, displays, collaborative equipment, and building infrastructure remain operational.
  • Coordinate, monitor, and supervise student workers and temporary staff assigned to the Digital Learning & Innovation Space.
  • Prepare reports summarizing programming outcomes, facility utilization, partnerships, operational metrics, and strategic recommendations.
  • Ensure compliance with university policies regarding facility use, safety, risk management, security, and technology usage.
  • Serve as liaison between the School of Business and internal and external stakeholders utilizing the Digital Learning & Innovation Space.
  • Analyzes administrative and operational functions; reviews policies and procedures systems for efficiency; implements appropriate changes and system improvements.
  • Supervise the scheduling of appointments, meetings, and conferences for department heads and/or other department staff as assigned.
  • Coordinate logistics of all department events and meetings including travel and lodging arrangements, agendas, information packets, parking, amenities etc. and provide on-site guidance to visitors and guests for university related events.
  • Record and maintain agenda and minutes from all division, department and faculty meetings and distribute them accordingly.
  • Perform other job-related duties as assigned.

Minimum Requirements

Bachelor's Degree in Business Administration, Higher Education Administration, Event Management, Hospitality Management, Communications, or a related field. Three (3) years of progressively responsible experience in program coordination, facility management, event management, higher education administration, innovation programming, or related experience. Experience coordinating events, managing schedules, and supporting technology-enabled learning environments is preferred. Equivalent combinations of education and directly related experience may be considered in accordance with university policy. 10 years of related work experience may be substituted in lieu of educational qualifications.
