Job Details: Level: Experienced - Location: US, VETS Phoenix - Phoenix, AZ 85012 - Position Type: Full Time - Education Level: 4 Year Degree - Salary Range: $21.78 - $22.00 per hour - Travel Percentage: Negligible - Shift: Day - Category: Admin - Clerical

Responsibilities
  • Oversee and maintain central databases of clients and program information and ensure compliance with grant-mandated systems.
  • Support Case Management department in maintaining files, preparing for audits, and correcting any deficiencies.
  • Collect and track program rents; provide receipts to clients, maintain rent calculation worksheets and waivers, and provide reports to Program staff.
  • Collect, reconcile, track, and deposit any other site cash accounts, money orders, and checks such as donations received or site store revenue.
  • Monitor and maintain supply inventory; coordinate purchases with approval, submit purchase orders, allocate expenses, and monitor vendor balances.
  • Coordinate with Program staff for requesting supportive service funds to meet client needs.
  • Assist with accounting functions and coordinate with Accounts Payable to ensure all deposits and expenses are submitted and posted timely.
  • Assist with grant applications, reports, budget tracking, and billings.
  • Assist in recording cash and in-kind contributions and maintain database of contributors for mailings and solicitations to support programs.
  • Coordinate shipping and post office mailings and track receipt of products and donations.
  • Plan annual and other periodic events for donors, partners, clients, and staff.
  • Assist with program-specific activities as needed such as client screenings, assessment for eligibility, intake documentation, and orientation.
  • Assist with human resources activities including posting positions, pre-screening candidates, scheduling interviews, coordinating orientation and training, and tracking evaluation and eligibility dates.
  • Assist supervisors with coordinating staff training and ensuring proper payroll allocations.
  • Assist with maintaining Operations Manual and regularly review and update program and organization policies.
  • Provide direct and confidential support to management, staff members, and interns.
  • Other duties as assigned.
Qualifications
  • Bachelor's Degree in Social Services, Accounting, Non-Profit Management, or a related field, or a minimum of 2 years of relevant experience may substitute for a degree.
  • Strong computer skills and proficiency in Microsoft Office.
  • Highly organized with attention to detail.
  • Able to work independently and responsibly.
  • Excellent communication skills, both oral and written.
  • Knowledge of veteran issues, homelessness, and local services is a plus.
  • Enthusiasm, positive attitude, team player, flexibility, and creativity.
  • Ability to listen, take direction, and make sound decisions.
  • Ability to organize and implement both short-term and long-term projects and programs.
