Job Title: Program Assistant – Education Assistance Program
Location: Pensacola, FL (Hybrid – 3 days onsite per week)
Reports To: Assistant Manager

Compensation
W2 (with 56 hours PTA): $20.00 – $26.00 per hour
Position Summary
We are seeking a detail-oriented, service-driven Program Assistant to support our Education Assistance Program. This role plays a critical part in delivering a seamless experience for employees pursuing educational development by managing cases, processing reimbursements, coordinating registrations, and supporting payroll and compliance activities.
The ideal candidate is highly organized, responsive, and comfortable working across HR, payroll, and finance teams while handling multiple priorities in a fast-paced environment.
Key Responsibilities
Case Management
- Serve as the primary point of contact for team members enrolled in the Education Assistance Program
- Track and manage cases from initial submission through completion
- Respond promptly to inquiries and provide ongoing program support
Reimbursement Processing
- Review and validate documentation for tuition and fee reimbursements
- Ensure adherence to program policies and eligibility guidelines
- Partner with finance and payroll to process reimbursements accurately and on time
Registration Coordination
- Assist employees with course and program registration, as applicable
- Maintain records of approved institutions, programs, and courses
- Monitor deadlines and ensure timely submission of required documentation
Payroll & Compliance Support
- Collaborate with payroll to ensure correct tax treatment of reimbursements
- Maintain confidentiality and compliance with data privacy and employment regulations
- Support audits, reporting, and compliance requirements related to the program
Program Support & Improvement
- Identify opportunities to streamline workflows and improve the employee experience
- Assist with updating program documentation, FAQs, and internal communications
- Support data collection and reporting for program evaluation
Qualifications
- Bachelor’s degree in Business Administration, Human Resources, or a related field (or equivalent experience)
- 2+ years of experience in program administration, HR operations, or employee benefits
- Strong organizational skills with exceptional attention to detail
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office Suite
- Experience with ServiceNow or other case management systems preferred
- Familiarity with payroll processes and education reimbursement programs is a plus
