Summary: The Program Administrator supports the area of Quality & Education within the Division of Education. The Quality and Education team acts as a bridge between surgical quality and education and connects professionals and patients with accessible, evidence-based resources throughout all areas where surgical patients receive care, supporting patient engagement and optimal surgical outcomes.

The Program Administrator implements daily activities and operations for Quality & Education programs and committees, including the ACS Patient Education, Surgical Palliative Care, and Interprofessional Education & Practice Committees. Reporting to the Senior Manager, Quality & Education, this role works with program leadership to support administrative operations and coordination of program development, implementation, evaluation, and stakeholder communication. The Program Administrator also collaborates across departments within the American College of Surgeons to support initiatives aligned with the mission of the Quality & Education area, the Division of Education, and the College as a whole.

This exempt position will report to the Senior Manager, Patient Education in the Division of Education. It is based in our Chicago office and is a hybrid role: 3 days per week in the office/2 days per week remote.

The anticipated salary range for this position is $68,500 - $75,000 (commensurate with related experience).

Key Responsibilities:

1. Program and Committee Administration
  • Support day-to-day operations for Quality & Education programs and related committees.
  • Coordinate committee and workgroup meetings, including scheduling, invitations, agendas, supporting materials, minutes, and follow-up communications.
  • Provide professional administrative and customer support to committee members, volunteers, hospitals, patients, providers, and other stakeholders.
  • Maintain organized program records, documentation, timelines, and routine administrative processes.
  • Work closely with Quality & Education team; engages in regular team communication.
  • Additional duties as determined by leadership, based on program needs.
2. Program Development, Implementation, and Evaluation
  • Support coordination of program development, implementation, and evaluation activities in collaboration with program leadership.
  • May assist with background research, literature reviews, gap analyses, and other information-gathering activities as needed.
  • Compile and organize stakeholder feedback to support consensus-building, program refinement, and continuous improvement.
  • Support program evaluations, data tracking, routine reporting, and review of outcomes or trends.
3. Outreach, Communication, and Resource Support
  • Conduct outreach to sites, providers, organizations, patients, caregivers, and/or collaborative partners in support of program goals.
  • Communicate program information, requirements, updates, and next steps clearly and professionally.
  • Collaborate with internal and external teams to support program design, publication, promotion, and resource distribution for digital and physical materials.
  • Complete projects within established budgets and timelines, maintaining communication with program leadership and applicable stakeholders.
  • Maintain program materials, including stock monitoring, supply needs, and related fulfillment processes.
  • May support administrative and coordination activities related to research, evaluation, and quality improvement initiatives with participating sites and stakeholders.
4. Quality, Compliance, and Project Support
  • Help ensure program activities, materials, and communications are accurate, complete, timely, and aligned with applicable standards.
  • Monitor assigned activities for follow-up needs, quality concerns, or compliance issues and elevate as appropriate.
  • Support project timelines, status updates, presentations, reports, and other materials for program leadership.
  • Contribute to team processes and cross-functional projects that advance Quality & Education priorities.

Required Education and/or Experience:

  • Bachelor's degree or higher from an accredited college or university is preferred.
  • Degree or coursework in education, public health, healthcare administration, health sciences, or quality improvement is preferred.
  • At least 2-4+ years of professional project coordination experience is required.
  • Experience in healthcare, education, association management, or a related setting required.
  • Experience supporting committees, workgroups, stakeholder communications, or collaborative projects preferred.
  • Experience with program evaluation, data tracking, quality improvement, patient education, or health education initiatives desired.
  • Strong written and verbal communication skills are required to facilitate effective interactions with internal staff, surgeons, allied health professionals, leaders, and ACS members.
  • Strong working knowledge of Microsoft Office products (Outlook, Word, Excel, and PowerPoint) is required along with experience organizing meetings using Zoom and Teams.
  • Strong organizational skills, attention to detail, and ability to manage multiple priorities and deadlines.
  • Strong customer service orientation and ability to work collaboratively with staff, volunteers, healthcare professionals, and other stakeholders.
  • Ability to maintain confidentiality and use sound judgement in handling program information.
  • Moderate travel may be required, including program support for an average of 5-7 conferences per year.
  • Spanish reading, writing and speaking skills are a plus.
