Truman College is seeking a Program Administrative Assistant to support the Child Development Lab Center in areas of enrollment, attendance, health, safety and nutrition in accordance with grant regulations, licensing and accreditation standards. The role involves filing, record-keeping, creating documents and reports, and serving as the first point of contact for parents and visitors.

  • Associate’s Degree in Business, Education or related field plus two years of clerical experience.
  • Bachelor’s Degree preferred.

Responsibilities

  • Assist in enrolling and maintaining information about eligible children.
  • Direct parents, visitors and staff to appropriate personnel.
  • Support enrollment, fee payment and family issues; assist with accounts payable/receivables.
  • Create, revise and update documents, memos, and forms.
  • Complete monthly reports for Site Director.
  • Enter data into center management tracking systems (attendance, health, family, staff).
  • Maintain inventory and order materials and supplies.
  • Coordinate food service documentation and menus as needed.

PROGRAM ADMINISTRATIVE ASSISTANT, CHILD DEVELOPMENT CENTER,FULL-TIME

TRUMAN COLLEGE

Truman College is seeking a Program Administrative Assistant tohelp assist in our Child Development Lab Center in areas ofenrollment, attendance, health, safety and nutrition in accordancewith grant regulations, licensing and accreditation standards. TheProgram Administrative Assistant will assist in filing andrecord-keeping, creating documents and reports and act as the firstpoint of contact for parents and visitors to the Child DevelopmentLab Center.

GENERAL RESPONSIBILITIES:
  • Assists in recruiting, enrolling, and maintaining informationabout eligible children for the center by gathering and enteringdata and maintaining appropriate files and children’s folders.
  • Directs parents, visitors and faculty to appropriate staff viaface-to-face and telephone contacts.
  • Under supervision of Site Director and Family ServicesCoordinator, works with parents on a variety of issues surroundingenrollment, fee payment, and family issues. Assists in managementof accounts payable and receivables; maintains tracking ofvolunteer hours for in-kind billing.
  • Creates, revises and updates documents, memos, letters, andforms as needed.
  • Completes monthly reports and provides other assistance to SiteDirector, as needed.
  • Enters data into child development center management trackingsystems. This data would include, but not be limited to,attendance, health information, family information, and staffinformation.
  • Maintains inventory and orders office and classroom materialsand supplies.
  • Works with college to ensure center receiving appropriate foodservice. Documents problems with services. May be asked to attainfood service license and assist with food disbursement. May beasked to assist with ordering food or developing menus, asneeded.
QUALIFICATIONS:
  • Associate’s Degree in Business, Education or a related field,plus two (2) years of experience in completing clerical tasks andworking with clients/customers required. Bachelor’s Degreepreferred.
  • Work experience in a Head Start center or social service agencyis preferred.
  • Bilingual preferred.
  • Must have a “customer service” attitude, as the positionrequires a great deal of interaction with parents and staff.
  • Position requires strong oral and written communicationskills.
  • Must be highly organized, motivated and able to meetdeadlines.
  • Must be able to work independently with limitedsupervision.
  • Must have computer skills and a working knowledge of MicrosoftOffice, including Excel, Word.
SALARY RANGE:

$56,891.63 - $59,736.21

Offered salary will be determined by the respective collectivebargaining agreement and applicant's education, experience,knowledge, skills and abilities.
