Job summary

PJ Fitzpatrick, LLC is seeking a Production Coordinator to manage the transition from sale to installation. You will liaise between customers, installation crews, warehouse, and the Project Manager to ensure timely, accurate execution of all steps and documentation.

This full-time role emphasizes strong organizational and communication skills, with responsibilities spanning scheduling, material coordination, and final payment coordination.

Qualifications

• High school diploma required; 1+ year experience as a coordinator/dispatcher in construction, maintenance or utilities.
• Strong communication and organizational skills expected.
• Experience coordinating with customers, crews and suppliers is preferred.

Responsibilities

• Schedule and coordinate installation with customers and crews to meet daily capacity targets.
• Monitor job status queues and ensure timely completion of tasks.
• Communicate ETA, confirmations and issue resolutions to customers.
• Coordinate with Purchasing and Warehouse to order and receive materials.
• Prepare installation details for crews and update operating system.
• Ensure jobs are closed and paid in full; handle post-install paperwork with Project Manager.
• Maintain punch lists and track materials; provide status updates to Accounting.

Job Summary: The Production Coordinator fulfills a central logistics role responsible for ensuring a smooth transition and completion of required steps from Sale to Installation within our prescribed standards and timeframes. They are the primary liaison between the customer, installation crew, warehouse personnel, support partners and the assigned Project Manager.

Essential Job Responsibilities:

• Monitor job status queues to ensure cycle times are met for scheduling production-related tasks
• Schedule installation with customer and crews with goal of achieving daily capacity targets
• Ensure day of installations challenges are addressed and resolved (e.g. weather reschedules)
• Maintain timely and regular communication updates with customer (ETA's, scheduling, day prior install confirmations, problem resolution)
• Work with Purchasing Manager and Warehouse to ensure materials are ordered and received
• Coordinate with Project Manager to ensure installation details are prepared to send to crews
• Ensure proper notation of all steps and customer communication is noted in operating system
• Ensure job completion steps are completed by crew and project is closed out and paid in full
• Inspect all post-install paperwork to ensure accuracy and completeness (in conjunction with Project Manager)
• Maintain punch list, update operating system and track materials
• Maintain daily communicate with crews to ensure progress of jobs and adjust schedule accordingly
• Coordinate with Project Manager all final payment arrangements with customers and provide status update to Accounting regarding unpaid jobs
• Receive and resolve customer inquiries and concerns
• Ensure sub-crew invoices and paperwork are received and accounted for on daily basis
• Submit information to accounting

This is a full-time role with a Monday-Friday schedule.
