Job summary

P.J. Fitzpatrick is seeking a Production Coordinator to manage the transition from Sale to Installation, acting as the primary liaison among customers, installation crews, warehouse staff, support partners, and the Project Manager.

You will monitor job status, schedule daily capacity, communicate updates, coordinate materials with Purchasing, and ensure proper documentation and timely payments. Full-time, Monday–Friday, on-site in Delaware.

Qualifications

• 1+ year experience as a coordinator/dispatcher in construction, maintenance, or utilities.
• Strong computer skills and proficiency in standard software.
• Excellent oral and written communication abilities.
• Detail oriented with good organizational skills.

Responsibilities

• Monitor job status queues to ensure cycle times for scheduling production tasks.
• Schedule installation with customer and crews to meet daily capacity targets.
• Address day-of-installation challenges (e.g., weather reschedules).
• Provide timely customer updates (ETAs, scheduling, confirmations, problem resolution).
• Coordinate with Purchasing and Warehouse to ensure materials are ordered and received.
• Coordinate with Project Manager to prepare installation details for crews.
• Document steps and customer communications in the operating system.
• Close out projects and ensure payment is received in full.
• Review post-install paperwork for accuracy with the Project Manager.
• Maintain punch lists, update the system, and track materials.
• Communicate daily with crews to progress jobs and adjust schedules.
• Coordinate final payment arrangements with customers and inform Accounting of unpaid jobs.
• Receive and resolve customer inquiries and concerns.
• Ensure sub-crew invoices and paperwork are accounted for daily.
• Submit information to accounting.
