Required Qualifications
- University/Academic policies and procedures related to purchasing, recruitment, and retention; bookkeeping principles; computer word processing, spreadsheets, databases, and other desktop software; basic math.
- Interacting courteously with others
- Telephone etiquette; typing; preparing documents and spreadsheets; reliability; working as a team member on most tasks of job.
- Read and understand instructions, correspondence, reports
- Prepare clear, concise and grammatically correct memos, reports, and letters; prioritize workload; establish and maintain complex and effective filing system
- Help supervise and support staff/student workers effectively to maximize output.
- High school diploma or equivalent
- knowledge of accounting principles, state, and federal regulations and laws, accounts payable and receivable and bookkeeping practices
Preferred Qualifications
- Some college education preferred, ideally in the human resources or criminal justice fields.
- Demonstrated outstanding organizational skills; attention to detail; ability to work under minimal supervision; evidence of initiative and proactive approach to solving problems.
- Experience with Texas State software such as Banner, GATO, LOGI, Course Leaf, Slate, and SAP.
- Experience with travel, hiring, and purchasing processes; experience organizing and facilitating university events.
- Demonstrated ability to quickly learn new procedures and to problem-solve independently; excellent written and oral communication skills.
Job Description
The Administrative Assistant II provides administrative and general clerical support to the management and staff within a specific division, department, or unit.
Job Duties
- Review purchase orders and invoices.
- Type and proofread correspondence and forms.
- Prepare, review, and submit purchase orders and invoices.
- Process travel arrangements, applications, and reimbursements for all staff.
- Assist in preparing various activities and events.
- Manage all aspects of the recruitment process.
- Support outreach and engagement.
- Supervise student employees.
- Tabulate information.
- Prepare spreadsheets.
