Arcis Golf is seeking a Private Event Services Manager at Ocotillo Golf Club in Chandler, AZ. You will lead planning, coordination, and flawless execution of weddings, social events, member celebrations, corporate outings, and tournaments, ensuring revenue optimization and exceptional guest experiences.

Responsibilities span contract-to-completion liaison, menu and decor planning, cross-department coordination, and on-site execution with a focus on hospitality excellence and brand standards.

Qualifications

• Private events, catering sales, banquet management experience required.
• Country club, resort, hotel, or upscale venue preferred.
• Proven track record in event sales, client experience, and execution excellence.
• Strong knowledge of banquet service, food & beverage operations, and event logistics.
• Able to multitask in a high-volume, fast-paced environment.
• Excellent organizational, communication, and interpersonal skills.
• Experience with event management systems, POS, and MS Office.

Responsibilities

• Plan and coordinate private events from contract to completion.
• Serve as primary client contact throughout planning.
• Coordinate menus, beverages, rentals, décor, and layouts.
• Work with culinary, banquet, AV, golf operations, and clubhouse teams.
• Oversee timelines, diagrams, and final confirmations.
• Ensure flawless execution and guest satisfaction.

• Forecast labor and manage staffing with F&B leadership.
• Track revenue, costs, and budgets; maintain event records.

Private Event Services Manager

Location: Ocotillo Golf Club

Reports To: Director of Food & Beverage

Position Summary

The Private Event Services Manager is responsible for the successful planning, coordination, and flawless execution of all private events at the Club, including weddings, social functions, member celebrations, corporate outings, golf tournaments, and special club events. This role serves as the primary liaison from contract to completion, ensuring exceptional service delivery, revenue optimization, and unforgettable guest experiences consistent with the Club's brand and hospitality standards.

Key Responsibilities

• Event Planning & Client Experience
• Serve as the primary point of contact for clients throughout the entire planning process
• Assist with menu selections, beverage packages, rentals, décor, and layouts
• Coordinate with culinary, banquet, audiovisual, golf operations, and clubhouse departments
• Oversee all timelines, room diagrams, and final confirmations
• Ensure all details are communicated and executed flawlessly
• On-Site Event Execution
• Be present at events as required to ensure proper setup, service flow, staffing, and guest satisfaction
• Problem-solve in real time with professionalism and grace
• Act as the lead service ambassador for hosts and VIP guests
• Maintain high standards of appearance, professionalism, and hospitality
• Team Leadership & Training
• Partner with Banquet Managers, Service Managers, and Culinary Leadership
• Assist in training banquet staff on service standards and event flow
• Promote a culture of accountability, hospitality, and teamwork
• Administrative & Financial Oversight
• Manage event deposits, billing accuracy, and final invoicing
• Forecast labor needs and coordinate staffing with F&B leadership
• Track revenue, cost of sales, and budget performance
• Maintain all event records, timelines, and contracts in the event management system
• Member Relations & Club Integration
• Deliver a personalized planning experience for club members and guests
• Support major club events such as tournaments, galas, holiday events, and themed dining
• Actively participate in club culture and member engagement initiatives

Qualifications & Experience

• Minimum 3-5 years of experience in private events, catering sales, banquet management, or hospitality events
• Country club, resort, hotel, or upscale venue experience strongly preferred
• Proven track record in event sales, client experience, and execution excellence
• Strong knowledge of banquet service, food & beverage operations, and event logistics
• Ability to multitask in a high-volume, fast-paced environment
• Exceptional organizational, communication, and interpersonal skills
• Proficiency with event management systems, POS, and Microsoft Office
