Job summary

Hedrick Brothers Construction, a West Palm Beach-based commercial general contractor, is seeking a detail-oriented Preconstruction Coordinator. The role supports early pursuits by managing bid coordination, subcontractor outreach, and project documentation across Procore, Building Connected, SharePoint, and Compass.

Qualifications

• 2+ years of administrative, estimating support, or coordination experience.
• Strong organizational skills and attention to detail.
• Excellent verbal and written communication skills.
• Comfortable making outbound calls and engaging with external stakeholders.
• Ability to manage multiple tasks and deadlines independently.
• General understanding of construction terminology.

Responsibilities

• Set up bid files in Procore and SharePoint/OneDrive and timestamp and track all incoming plans, specs, and project documents.
• Support bid solicitation, plan and specification distribution, printing needs, and filing of all preconstruction-related documentation.
• Maintain current bid status and subcontractor database in Building Connected.
• Track responses, addenda, and subcontractor communications.
• Assist with scope review meetings and proposal assembly.
• Identify and prequalify new subcontractors with the Prequalification Coordinator.
• Create meeting agendas, minutes, drawing logs, and RFI logs and distribute them promptly.
• Set up preconstruction meetings with conference rooms, virtual invitations, agendas, materials, display boards, sign-in sheets, and contact spreadsheets.
• Set up project framework in Procore with subcontractor, consultant, architect, owner contact information.
