Trueline's client, a growing multi-office tax, bookkeeping, and advisory firm serving individuals and businesses, is seeking a Practice Manager to join its team. This role will be based primarily in Staten Island, NY, with regular time in New Jersey offices and periodic travel to North Carolina. This is an opportunity for an experienced CPA or tax-firm operator to step into an established business, bring structure to a growing organization, and help leadership turn ideas into scalable processes that work.
What You'll Do as the Practice Manager:
- Build, document, and improve firm-wide operating procedures across client workflow, onboarding, billing handoffs, office administration, hiring, and other core functions.
- Lead the firm's workflow and practice-management systems, ensuring teams consistently use the tools and processes designed to keep work moving.
- Maintain visibility into staffing capacity, client assignments, and workload so department leaders can address bottlenecks before deadlines are affected.
- Create repeatable processes for integrating acquired practices, including systems, staff, operations, billing, and office logistics.
- Partner with leadership to evaluate new ideas, prioritize initiatives, and determine what should happen now, later, or not at all.
- Roll out policies and procedures across multiple locations and ensure managers and employees understand how to apply them.
- Oversee HR administration, including employee onboarding, payroll and HRIS administration, records, and policy acknowledgments.
- Lead and support administrative operations across multiple offices through the firm's office administration team.
- Create accountability around open projects, ownership, deadlines, and follow-through.
- Help the firm prepare for and successfully execute tax season with clear workflows, staffing plans, and operational discipline.
Must-Haves as the Practice Manager:
- 5+ years of operations leadership experience within a CPA, tax, accounting, or bookkeeping firm.
- Hands-on experience planning and managing at least two tax seasons, including workload, staffing, deadlines, extensions, and capacity.
- Demonstrated ability to walk into an established organization and teach better operating practices rather than needing to be developed into the role.
- Experience implementing or managing a practice-management, workflow, CRM, or similar operational system.
- Strong process-development skills, including experience writing procedures that employees actually use.
- Experience supervising administrative employees and coordinating work across teams or locations.
- Confidence working with an entrepreneurial or visionary leader who generates ideas quickly.
- Ability to respectfully challenge priorities, say "not now" or "no" when appropriate, and support those recommendations with facts.
- Strong follow-through and a track record of making sure projects have clear owners, deadlines, and next steps.
- A practical, approachable leadership style that brings structure without creating unnecessary bureaucracy.
Nice-to-Haves as the Practice Manager:
- Experience supporting a multi-office accounting, tax, or professional services organization.
- Experience integrating an acquired CPA or tax practice, opening a new location, or managing a significant systems conversion.
- Familiarity with platforms such as GoHighLevel, Karbon, TaxDome, Canopy, CCH Axcess, SmartVault, or comparable systems.
- Experience with ADP or another payroll and HRIS platform.
- Understanding of engagement letters, billing workflows, and the relationship between pricing, staffing, and capacity.
- Familiarity with Microsoft 365, QuickBooks Online, document portals, and electronic signature platforms.
- Bachelor's degree in business, accounting, operations, or a related field.
- Experience in a law firm or comparable professional services environment may be considered when the candidate has highly transferable workflow, capacity, and multi-office operations experience.
Our Client Offers:
- Base salary targeted at $100,000 to $125,000, with approximately $110,000 to $115,000 expected to be competitive for the right hire.
- Potential flexibility above the stated range for an exceptional candidate with directly relevant CPA-firm acquisition and integration experience.
- A high-impact position with direct access to ownership and the leadership team.
- The opportunity to design processes and systems rather than simply inherit them.
- A growing organization where strong operational leadership will have a visible impact.
- A collaborative, relationship-driven environment that values loyalty, practicality, and helping one another.
- The chance to build an operational playbook that supports future locations and acquisitions.
- Full-time salaried employment with an ASAP start, ideally before the January tax-season ramp-up.
- Standard business hours outside peak periods, with additional hours expected during tax season from January through April.
