Job Summary

Please note: the duration will be approximately 6 months; possibility of extension. The Practice Coordinator 3 serves as the face of the Practice, collaborating with administrative, clinical, and management teams. Responsible for seamless operations and exceptional customer service, this role handles scheduling, referrals, revenue cycle management, and patient care coordination.

Key Responsibilities

  1. New Patient Scheduling and Processing: Manage referral work queues, act as primary contact for referring physicians and new patients, schedule and register patients accurately, explain first appointment procedures, and manage patient expectations.
  2. Advanced New Patient Scheduling And Coordination: Secure outside medical records, prioritize scheduling for complex patients, inform patients about treatment options, and coordinate care with various clinical disciplines and external providers.
  3. Surgery Scheduling And Advanced Surgery Scheduling: Coordinate outpatient and inpatient surgeries, ensure proper communication, manage complex scheduling, secure authorizations, and coordinate post-surgical appointments and paperwork.
  4. Revenue Cycle: Perform cash collection, communicate financial policies, obtain insurance authorizations, monitor provider open charts, work on denials, and secure complex authorizations.
  5. Administrative And Patient Care Coordination: Schedule appointments, triage calls, collaborate with clinical staff in problem-solving patient needs.
  6. APeX And IT Specific Skills: Manage APeX-specific tasks, referrals, appointments, and utilize functionalities for patient care coordination.
  7. Environmental Responsibilities, General Performance, And Customer Service Outreach: Maintain safety and confidentiality, participate in team building, handle inquiries and complaints.
  8. Lead Role Duties: Resolve operational issues, guide process improvements, act as primary resource within the department.

Department Description

UCSF's Temporary Employment Program (TEP) recruits temporary clerical and technical staff for UCSF departments and off-campus locations, often leading to career opportunities.

Required Qualifications

  • High School diploma or equivalent with four years related experience; or college degree with 6 months related experience; or equivalent experience.
  • Experience with APeX/EPIC and in-person client service.
  • Experience scheduling patients, strong computer skills, navigation of multiple records systems, ability to work independently under deadlines, excellent communication, organizational, and problem-solving skills, and basic math skills.

Preferred Qualifications

  • Healthcare experience, including scheduling, insurance verification, and medical records abstraction.
  • Experience in ambulatory settings, prior scheduling experience, bilingual capabilities (Spanish, Cantonese, Russian).
