Remote Raven is hiring a Permitting Coordinator for a fully remote, full-time role within a fast-growing US roofing group. You will own permit acquisition, compliance, and coordination across multiple jurisdictions, serving as the liaison between municipalities, homeowners, and internal teams.

You will maintain tracking systems, push applications forward, schedule inspections, and ensure timely renewals. A strong eye for detail and fluency in English are essential to succeed in this position.

Job description

Remote Raven is recruiting a full-time, fully remote Permitting Coordinator on behalf of our client, a fast-growing US roofing and exteriors group that runs a family of regional brands across the Eastern and Central United States. The group operates a portfolio of regional roofing brands and completes a high volume of residential and commercial roofing work every year, all of which is regulated at city, county and state level.

The Permitting Coordinator owns the full lifecycle of permit acquisition and compliance across every one of the group's branded entities. You are the central liaison between municipalities, internal teams, homeowners and contractors, and you are responsible for making sure every project meets local, county and state regulatory requirements. You maintain the records, you make the inspections happen on time, and you provide the administrative and operational backbone of permitting across new installations, repairs and warranty work.

This is a role of consequence rather than volume alone. A permit that lapses before its final inspection creates a compliance problem for the brand and a property-record problem for the homeowner, and it does so silently. The person who succeeds here is the one who treats an open permit as unfinished business until the day it is closed.

Key Responsibilities
Permit Application & Expediting
  • Prepare, apply for, and expedite permit applications for roofing projects across all of the group's branded entities.
  • Identify the correct permitting authority for each project address, including the distinction between an incorporated city and the unincorporated county surrounding it.
  • Assemble complete application packets: scope of work, project documentation, contractor license and registration details, certificates of insurance, and bonds where the jurisdiction requires them.
  • Submit applications through each jurisdiction's channel, whether that is an online portal, an email intake address, or a phone-and-fax counter.
  • Push stalled applications forward: follow up on review times, answer plan-reviewer questions, and resolve corrections and resubmittals.
Tracking, Renewals & Inspections
  • Maintain a comprehensive tracking system covering every open permit across every brand and jurisdiction, with status, dates, fees, and next action visible at a glance.
  • Ensure timely renewals so that no permit lapses while a job is still open.
  • Schedule and confirm final inspections, and confirm every inspection requirement is completed before the permit expires.
  • Track failed inspections through to a passed re-inspection, including routing correction notices to the right project manager and rescheduling.
Municipal & Internal Liaison
  • Act as the primary point of contact between local authorities and project managers on all permit matters.
  • Call, email, and follow up with city, county, and state building departments during their business hours.
  • Coordinate with project managers, field crews, the licensing team, and subcontractors to gather the documentation each application requires.
  • Communicate professionally with homeowners and public officials, representing the brand on every contact.
Compliance Review
  • Review project plans, scopes, and supporting documentation to confirm they meet local permitting and zoning requirements before submission.
  • Compile and maintain current knowledge of municipal code years, permit requirements, fee schedules, and inspection protocols for every jurisdiction the group works in.
  • Flag scopes that will not pass review as written, before they become a rejected application and a delayed crew.
Close-Out & Problem Resolution
  • Own each permit through to close-out, so that jobs finish with a passed final inspection and a closed permit on record.
  • Address expired permits by reapplying, resolving outstanding fees, and scheduling follow-up inspections.
  • Escalate blockers early and in writing, with the specific action needed and from whom.
Licensing, Bonds & Insurance Support
  • Work with the licensing team to request and manage business licenses, contractor registrations, surety bonds, and certificates of insurance as jurisdictions require them.
  • Verify that licenses and registrations used on applications are current before they are submitted.
Records, Reporting & Administration
  • Ensure regulatory reporting, permit expense tracking, and license verification are completed accurately and on time.
  • Keep permit records organized and retrievable, so any teammate can find the current status of any job without asking you.
  • Perform other administrative duties and responsibilities as directed.
  • Hands-on experience in permit coordination or regulatory compliance, where you personally prepared and submitted applications to a government authority rather than only filing them afterwards. Construction or roofing experience is preferred.
  • Familiarity with local and state permitting systems, zoning regulations, and building codes, and comfort working out the requirements of a jurisdiction you have not dealt with before.
  • Proven ability to manage many open items and competing deadlines at once without losing track of the quiet ones.
  • You build and maintain your own tracking spreadsheets, including filters, sorting, and formulas, rather than only entering data into a sheet someone else built.
  • Confident spoken and written English, and willingness to make outbound calls to US government offices several times a day.
  • Ability to interact professionally with the public and with public officials, including when you are chasing them for something.
  • Proficiency with permitting software, tracking systems, and the Microsoft Office Suite.
  • A high level of attention to detail and accuracy in documentation and reporting. On this role a wrong address, an expired license number, or a certificate of insurance naming the wrong holder is a rejected application and a crew standing still.
  • Works closely and harmoniously with others, and takes correction without friction.
  • Reliable high-speed internet, a working headset, and a quiet space for calls.
Preferred Qualifications
  • Prior experience working directly with US municipal agencies in a permit coordination role.
  • Knowledge of construction processes and of the regulatory requirements specific to roofing.
  • Three or more years of responsible office work, construction-related office work preferred.
  • Experience with a field service management platform such as ServiceTitan, or with a dedicated permit management tool.
  • Experience preparing certificates of insurance, contractor license documentation, or surety bond paperwork as part of an application packet.
  • Experience supporting more than one operating brand or legal entity at the same time.
Tools & Software
  • Permitting and jurisdiction systems: Municipal and county online permit portals such as Accela, Tyler EnerGov / Civic Access, OpenGov, Citizenserve, eTRAKiT, MyGovernmentOnline, or comparable systems. Every jurisdiction is different, so what matters is that you can learn a new portal quickly, not that you have used a particular one.
  • Tracking: Microsoft Excel for permit trackers, aging reports, and fee tracking. A dedicated permit tracking tool or a field service management platform where the group uses one.
  • Office and documents: Microsoft Office Suite: Excel, Outlook, Word.
  • Communication and collaboration: Microsoft Teams and OneDrive. Outbound phone calls to US building departments.
  • Time tracking: Hubstaff, active during paid working hours.
What Makes You a Great Fit
