About the Role
We are looking for a detail-oriented and organized CW Program Coordinator to manage the day-to-day operations of our Contingent Workforce (CW) Program. This role will focus on processing contractor lifecycle activities in VNDLY, coordinating onboarding and offboarding, maintaining accurate worker data, and supporting contractors, managers, vendors, and internal teams.
You will work closely with the CW Program Manager and partner with People Services, IT, Finance, staffing vendors, and payroll vendors.
What You'll Do
Worker Operations
- Creating and updating work orders
- Onboarding and offboarding
- Contract extensions
- Assignment changes
- Profile updates
- Manage VMS records from start to finish, including new vendor setup.
- System access
- Equipment
- Badges
- Manager communications
- Manage contractor offboarding and confirm access is removed on the worker's final day.
- Support contractor onboarding and new-hire onboarding (NHO) sessions, including scheduling, materials, and coordination with People Services and the onboarding team.
- Monitor and respond to requests through the CW inbox, Jira, and Slack.
- Answer routine questions, resolve issues, and route complex requests to the appropriate team.
- Support timesheet, billing, and payment issues by:
- Following up on missing or incorrect timesheets
- Tracking timesheet approvals
- Reviewing invoice and PO issues
- Working with Finance and vendors to resolve problems
- Keep contractor records and rosters accurate across VNDLY, Workday, and vendor systems.
- Pull data and prepare information for monthly program reporting.
Program Administration
- Maintain program documentation, Google Drive folders, knowledge-base content, forms, and templates.
- Manage program communications, including:
- CW inbox
- Google Groups
- Slack channels
- Program announcements and updates
- Scheduling quarterly business reviews (QBRs)
- Tracking vendor action items and follow-ups
What We're Looking For
Required
- 2+ years of experience in HR Operations, Staffing/Recruiting Operations, People Operations, or Program Coordination.
- Strong organizational and attention-to-detail skills.
- Ability to manage sensitive and confidential worker information accurately and professionally.
- Ability to manage multiple deadlines and changing priorities.
- Strong written and verbal communication skills.
- Reliable, responsive, and comfortable handling time-sensitive requests.
- Strong customer-service and problem-solving skills.
- Comfortable working with multiple teams and external vendors.
- Proficiency with Google Workspace, especially Docs and Sheets.
- Proficiency with Slack.

- Experience in the staffing industry or contingent workforce programs.
