Job summary

LeadStack Inc. is seeking a detail-oriented CW Program Coordinator to manage the day-to-day operations of our Contingent Workforce program.

You will handle contractor lifecycle activities in VNDLY, onboarding/offboarding, and maintaining worker data while supporting contractors, managers, vendors, and internal teams. You will work closely with the CW Program Manager and partner with People Services, IT, Finance, staffing vendors, and payroll vendors to ensure smooth operations and timely

Qualifications

• 2+ years of experience in HR Operations, Staffing/Recruiting Operations, People Operations, or Program Coordination.
• Strong organizational and attention-to-detail skills.
• Ability to manage sensitive and confidential worker information accurately and professionally.
• Ability to manage multiple deadlines and changing priorities.
• Strong written and verbal communication skills.
• Reliable, responsive, and comfortable handling time-sensitive requests.
• Strong customer-service and problem-solving skills.
• Experience with Google Workspace and Slack.
• Experience with VMS/HRIS (VNDLY, Workday, Fieldglass, Beeline).

Responsibilities

• Create and update work orders.
• Onboarding and offboarding contractors.
• Contract extensions and assignment changes.
• Manage VMS records and vendor setup from start to finish.
• Ensure system access and equipment management.
• Oversee contractor offboarding and access removal.
• Support onboarding sessions with People Services and onboarding team.
• Monitor requests via CW inbox, Jira, and Slack.
• Resolve routine issues and route complex requests appropriately.
• Support timesheet, billing, and payment processes with Finance and vendors.
• Maintain contractor records across VNDLY, Workday, and vendor systems.
• Pull data and prepare information for monthly program reporting.
• Maintain program documentation, folders, knowledge-base, forms, and templates.
• Manage CW communications channels and quarterly reviews.
