Job description

About The Role

The HR coordinator is the front line of BTS People Experience (PX) in the US. You will be the first point of contact for employees and managers, and you will help run the employee lifecycle day to day: onboarding and offboarding, leave and time off, HR systems, employee communications, and compliance. You will partner closely with our People Experience Business Partner, Payroll and Benefits experts, Recruiting, and IT.

This is a relational role. People often reach out to HR at important moments, such as starting a leave, welcoming a new baby, or leaving the company. How you listen and respond matters as much as getting the answer right. You will build trust, explain things in plain language, and know when to bring in the People Experience Business Partner. BTS is also changing how we manage leaves and moving to a new HR system. You will help make that change work by shaping and testing new processes, validating data, and keeping employees informed. Much of the work follows established templates and checklists, and anything that needs judgment is reviewed before it goes out. This is a strong first step for someone building a career in HR operations.

What You Will Do
  • Front-line employee support
  • Serve as the first point of contact for employees questions, providing timely, accurate, and empathetic responses.
  • Triage and elevate sensitive or complex matters, including medical situations, complaints, and policy questions, to the People Experience Business Partner.
  • Maintain and improve self-service resources, FAQs, and templates, and flag recurring questions so we can improve the process.
  • Onboarding and offboarding
  • Involvement in the onboarding and offboarding processes
  • Manage the logistics of employee transitions, including equipment returns and communications with IT, Payroll, and Benefits.
  • Compile exit feedback and surface themes for the PX team.
  • Leave and Time Off
  • Maintain key parts of the leave of absence process, including documentation, tracking, and employee and manager communication from intake through return to work.
  • Coordinate leave paperwork and verifications with employees, managers, and carriers.
  • Monitor leave and PTO data for accuracy and compliance and maintain the LOA dashboard.
  • Support state and federal leave requirements in partnership with the PX Business Partner.
  • Employment compliance and policy
  • Support employment compliance, regulatory requirements, and required reporting, and flag potential concerns early.
  • Contribute to policy development and documentation, including drafting, updating, and publishing policies and procedures.
  • Maintain trackers and records for work authorization and process employment verification requests.
  • Employee engagement and communications
  • Take part in employee engagement matters, helping plan and carry out initiatives and following up on feedback.
  • Post and send company employee communications, including announcements, benefits and PTO reminders, and other updates.
  • HR systems and data
  • Support HRIS with ongoing maintenance, including testing, data validation, configuration requests, and user guides.
  • Maintain the integrity of employee data through regular audits and reconciliations, and resolve discrepancies.
  • Prepare routine reports and dashboards for the PX team and stakeholders.
  • Payroll, benefits, and talent acquisition support
  • Support our Payroll and Benefits expert by providing notification of payroll inputs and handling standard employee benefits questions.
  • Support talent acquisition initiatives and the Recruiting team, including new hire paperwork handoffs, scheduling, and coordination.
  • Team operations
  • Support day-to-day PX operations, including scheduling, communications, and follow-through.
  • Document procedures and contribute to continuous process improvement.
Required
What you bring

  • Strong attention to detail and comfort checking your own work.
  • Discretion with confidential information, including medical and compensation data.
  • Good judgment about when to ask for help.
  • Comfort learning new systems quickly and adapting as processes change.
Preferred
  • Experience with Rippling.
  • Familiarity with FMLA, PTO administration, and employment compliance.
