  • Manage semi-monthly, full-cycle payroll, changes, deductions, reconciliations and reporting.
  • Process invoices and expense reports; reconcile credit card statements and maintain records.
  • Prepare responses to financial, payroll and staffing surveys with timely reporting.
  • Assist with 401(k) administration and employee inquiries.
  • Collaborate with HR on benefits, payroll compliance and onboarding.

Franklin & Prokopik, P.C, a downtown Baltimore law firm, is seeking an experienced Payroll/Finance Specialist to join our administrative team. This is an excellent opportunity for a detail-oriented professional who enjoys working with numbers, solving problems, improving processes, and serving as a trusted resource within an organization.

You are highly organized, attentive to detail, and comfortable managing competing priorities without sacrificing accuracy. You don't simply go through the motions—you identify issues, take ownership of your responsibilities, and look for opportunities to make processes work better.

Because this position works with payroll, financial and employee information, discretion, sound judgment and confidentiality are essential.

Key Responsibilities:
  • Manage semi-monthly, full-cycle payroll, including payroll changes, deductions, contributions, reconciliations and related reporting.
  • Assist with financial administration, including processing invoices and expense reports, reconciling credit card statements, and maintaining financial records and reports.
  • Compile and respond to financial, payroll and staffing surveys and other requests for Firm data, ensuring timely and accurate reporting.
  • Support the Firm Administrator with 401(k) administration, including contributions, enrollments and employee inquiries.
  • Partner with Human Resources on benefits administration, payroll and HR compliance, and onboarding new employees into the Firm's payroll/employee self-service system.
  • Provide administrative and operational support to the Firm Administrator, including preparation of correspondence, reports and other business documents.
  • Assist with annual business insurance renewals and other Firm administrative projects.
  • Coordinate with HR, Finance, IT and other administrative functions on matters affecting payroll and Firm operations.
  • Assist with maintaining internal policies, procedures, records and controls to support compliance and mitigate risk.
  • Identify opportunities to improve payroll, financial and administrative processes and contribute to implementation of solutions.

Responsibilities may evolve based on the needs of the Firm and are not limited to those listed above.

Education & Experience:
  • Associate degree or equivalent combination of education and relevant experience required; bachelor's degree preferred.
  • Minimum two years of hands-on payroll experience, including experience with full-cycle payroll processing.
  • Two or more years of experience supporting accounting, finance or related business functions strongly preferred.
  • Experience with KTBS or a comparable payroll/HRIS platform preferred.
  • Proficiency with Microsoft Office, including intermediate Microsoft Excel skills.
  • Strong organizational, time-management and prioritization skills.
  • Demonstrated accuracy and attention to detail.
  • Strong problem-solving skills and the ability to work independently while collaborating effectively with others.
  • Ability to handle confidential payroll, financial and employee information with discretion.
