Job summary

Air Comfort, Inc. is seeking a Payroll Clerk to support the Financial Services Department in accurate and timely payroll processing for all employees.

You will work closely with the Financial Director to maintain records, ensure compliance, and support accounting functions in a professional environment. The role requires attention to detail, reliability, and the ability to handle high volumes while meeting deadlines.

Qualifications

• High school diploma or equivalent is required.
• Experience in accounting, bookkeeping, or payroll preferred.
• Proficiency with Microsoft Excel, Word and Outlook.
• Knowledge of accounting software preferred.
• Strong attention to detail, accuracy, and reliability.
• Ability to work independently, prioritize tasks, and meet deadlines.
• Excellent written and verbal communication skills.
• Familiarity with business/office procedures and ability to operate standard office equipment.
• Ability to handle a high volume of work and interruptions.

Responsibilities

• Process employee timecards and input payroll data into Paychex to ensure timely and accurate payments.
• Maintain confidentiality regarding payroll and related matters in accordance with legal requirements.
• Ensure compliance with applicable State and Federal payroll regulations, as well as company policies and procedures.
• Maintain and update books of account, including general ledger, accounts receivable/payable, cash, sales, and payroll records.
• Assist the Financial Director in preparing monthly payroll-related financial statements and reports for executive review.
• Track, maintain, and audit paid time off (PTO) for all employees.
• Prepare and post monthly journal entries related to payroll, workers’ compensation, and liability insurance.
• Prepare accounts payable vouchers and process cash disbursements.
• Assist with maintaining up-to-date health and wellness insurance policies for the agency.
• Prepare and process monthly Social Security reports and client billing for services rendered.
• Enter staff and client payroll data and maintain permanent payroll records.
• Support other departments with accounting policy implementation and information requests.
• Maintain organized department filing and corporate information.
• Assist with COVID-19 safety guideline orientation and recordkeeping as needed.
• Perform other related duties as assigned.
