Job summary

ESPO Corporation is seeking a Payroll Specialist in Appleton, WI for a 12-month contract. The role focuses on processing union payroll, reports, and government taxes, with responsibilities spanning data collection, ERP record maintenance, and timely payroll processing.

The ideal candidate will have a high school diploma or GED and at least 3 years of payroll experience, with emphasis in union construction payroll considered a plus and experience with Oracle or similar ERP systems is preferred.

Responsibilities

• Process weekly union payroll and ensure accuracy of earnings, deductions, and taxes.

• Create and update union employee records in ERP systems; reflect severance, termination, and disciplinary data.
• Review time entries for errors before payroll processing and resolve discrepancies.
• Prepare monthly union remittances and reconcile liabilities with payments.
• Prepare reports and respond to payroll inquiries, ensuring compliance with regulations.
• Submit new hire reports to state agencies; process child support and court orders when needed.

Job Description

Summary: Responsible for processing union payroll, reports, and government taxes.

Essential Duties and Responsibilities include the following: Other duties may be assigned.

• Coordinate with field management staff to collect union new hire paperwork. Ensure information is complete and accurate, following up on any issues or missing information.
• Create union employee record in ERP system, updating employment data or status changes. Ensure severance, termination, and disciplinary forms are reflected appropriately.
• Using reports, review field time entry for potential errors in hours, union, pay class, and per diem. Follow up with site teams and address as appropriate prior to payroll processing.
• Process weekly union payroll and off-cycle checks in a timely manner by importing time details and validating entries created. Confirm calculation of earnings, deductions, garnishments, union liabilities, and taxes. Ensure paychecks are distributed on time.
• Prepare monthly union remittances. Using system reports, calculate amounts and submit payment requests, ensuring reconciliation between liabilities accrued and payments. Match payments with labor details and remit to appropriate funds.
• Prepare reports, check for accuracy, and resolve discrepancies as part of business recordkeeping and compliance activities.
• Respond to and resolve inquiries related to union employee payroll.
• Submit new hire reports to state agencies.
• Process child support and other court orders as necessary.

Requirements
