The Payroll Manager is a hands-on payroll professional, primarily responsible for managing and completing full-cycle, in-house payroll as well as supporting systems that relate to payroll. This role will be an integral team member supporting various payroll system projects. The Payroll Manager will manage payroll for the organization, comprising a weekly national payroll for over 1,200+ team members (and growing) in 20 states, and will support the continued development of payroll processes and system capabilities, including continuous improvement, system upgrades, and migrations.
Duties/Responsibilities
- · Manage the end-to-end payroll process, ensuring compliance with federal, state, and local laws.
- · Oversee the timely and accurate processing of weekly multi-state exempt and non-exempt payroll, ensuring compliance with all wage and hour laws in all jurisdictions.
- · Reconcile time sheets and time exceptions timely and work with local approvers to resolve.
- · Reconcile payroll reports and ensure accurate deductions, benefits, and taxes.
- · Manage state-level unemployment accounts and reconciliations.
- · Accurately manage and report proper tax jurisdictions and reciprocity agreements for on-site and remote workers.
- · Develop and manage existing and new vendor file feeds.
- · Support the integration of payroll processes for acquisitions, including process alignment, system setup, and applicable registrations with each state/municipality.
- · Work closely with HR, benefits, and finance teams to resolve any payroll-related issues.
- · Process and manage garnishments, benefits, and other deductions as required.
- · Manage payroll-related adjustments, corrections, and ad-hoc entries.
- · Generate and analyze various payroll, headcount, and compensation and benefits reports for management, including those related to cost analysis, employee benefits, and tax obligations.
- · Coordinate and manage year-end payroll processes, including W-2 and other required filings.
- · Support the implementation and adoption of new payroll policies, procedures, and systems.
- · Administer 401(k) and workers’ compensation audits and census inquiries.
- · Handle payroll-related inquiries from team members, management, and external auditors.
- · Manage and respond to wage and employment verification requests in a timely and accurate manner, ensuring appropriate authorization and confidentiality.
- · Identify and implement payroll system enhancements and improvements and manage inquiry/ticket requests within the payroll system.
- · Maintain payroll records in compliance with requirements.
- · Perform other duties as assigned.
Required Skills/Abilities
- · Extensive knowledge of the payroll function including preparation, balancing, internal control, payroll taxes, and reporting.
- · Excellent organizational skills and attention to detail.
- · Strong analytical skills and attention to detail, with the ability to identify and resolve discrepancies.
- · Technical acumen with the ability to understand and implement payroll best practices and participate in technical discussions regarding payroll system design and functionality.
Education and Experience
- · Bachelor’s degree in accounting or business administration or related field or an equivalent combination of education and experience.
- · 5+ years of progressive payroll experience in a national, multi-state, scaling organization, with a solid understanding of payroll principles, regulations, and best practices.
- · Experience working within multiple top-tier HRIS and payroll systems (UKG, Workday, etc.) with advanced knowledge of MS Excel required.
- · This position is a hands-on individual contributor and will be directly responsible for day-to-day payroll processing and management.
