Job Summary:
The Payroll and Benefits Manager is responsible for overseeing and managing all aspects of payroll processing and employee benefits administration. This position ensures employees are paid accurately and on time while also managing benefit programs that support employee health, wellness, and retirement. The ideal candidate will have strong knowledge of payroll systems, benefits regulations, and compliance requirements.
Duties/Responsibilities
Payroll Administration:
- Oversee and process bi-weekly payroll in a timely and accurate manner.
- Ensure all payroll transactions are processed efficiently, including new hires, terminations, wage adjustments, deductions, garnishments and bonus payments.
- Maintain accurate payroll records and reports for audit and reconciliation purposes.
- Ensure compliance with federal, state, and local payroll laws and regulations.
- Manage year-end reporting including W-2s and other tax documents.
- Be the liaison between employees and any payroll questions or concerns.
- Maintain knowledge of industry trends and changes in employment and payroll law.
Benefits Administration:
- Support the employee benefits programs including health, dental, vision, life insurance, disability, Supplemental and 401k.
- Support with open enrollment, new hire enrollments, and benefit changes throughout the year.
- Work with insurance carriers and third-party administrators to resolve employee issues and ensure accurate enrollment.
- Educate employees about benefit offerings, eligibility, and changes to plans.
- Review monthly reconciliations of all invoices ensuring data reflects correctly
- Partner with HR and Finance to support organizational goals and improve internal processes.
Additional:
- Monitor labor budgets and ensure compliance with established hour allocations; regularly follow up with department managers to investigate and explain overages.
- Support HR with high-volume tasks during seasonal periods, including onboarding, terminations, and employee data entry.
Required Skills/Abilities:
- Bachelor’s degree in Human Resources, Accounting, Business Administration, or related field.
- Minimum 5 years of experience in payroll and benefits administration, including supervisory experience.
- Agriculture industry experience is a plus, especially with knowledge of H-2A visa program compliance and seasonal labor cycles.
- Strong knowledge of payroll systems (e.g. Paychex, UKG) and benefit platforms.
- Familiarity with pay card reimbursement platforms such as Rapid! PayCard or similar systems preferred.
- Thorough understanding of payroll tax regulations, employee benefits law, and HR compliance.
- Experience with payroll and onboarding processes related to company acquisitions is a plus.
- Implementation experience with payroll, HRIS, or benefits platforms is highly desirable.
- Proficiency in Microsoft Excel and HRIS systems.
- Excellent communication, problem-solving, and organizational skills.
- CPP (Certified Payroll Professional) and/or CEBS (Certified Employee Benefits Specialist) preferred.
