Job summary

Acara Solutions is seeking a Payroll Administrator in Buffalo, NY to join a collaborative payroll team. You will ensure accurate, timely weekly payroll while working with Finance, HR, and Operations on certified payroll, prevailing wage, and year‑end processing.

Responsibilities

  • Administer weekly payroll, review time and deductions for accuracy and compliance.
  • Manage certified payroll, prevailing wage, and union payroll for federal/state/public works.
  • Serve as primary payroll system administrator, maintain employee data and system configs.
  • Partner with Finance and HR on payroll processes, deductions, policy updates, audits, and tax notices.
  • Support payroll tax reporting, year-end processing, and regulatory audits.

What You'll Do
  • Administer weekly payroll, reviewing employee time, payroll data, job cost allocations, coding, deductions, and other information for accuracy and compliance.
  • Manage certified payroll, prevailing wage, and union payroll requirements for federal, state, and public works projects, including preparing and submitting required reports and documentation.
  • Serve as the primary payroll system administrator, maintaining employee data, system configuration, data integrity, and supporting ERP implementation and payroll process transitions.
  • Partner with Finance and Human Resources on payroll‑related processes, benefits deductions, earnings and deduction codes, policy updates, audits, tax notices, and compliance matters.
  • Support payroll tax reporting, filings, garnishments, child support deductions, unemployment documentation, W‑2 preparation, year‑end processing, SOP documentation, and regulatory audits.

What You'll Bring
  • High School Diploma or GED
  • 2+ years of construction payroll experience
What Sets You Apart
  • Associate's Degree in Accounting or Finance or Business Administration.
  • Construction industry payroll experience.
  • Experience processing certified payroll for prevailing wage and public works projects.
  • Strong attention to detail and commitment to accuracy.
  • Knowledge of the Davis-Bacon Act, prevailing wage regulations, and certified payroll reporting requirements.
  • Experience processing multi-state payroll.
  • Experience with UKG and Sage.
  • Comfortable learning and becoming proficient in new payroll and HR systems.
  • Knowledge of federal, state, and local payroll tax regulations and wage and hour laws.
  • Fundamental Payroll Certification (FPC) or Certified Payroll Professional (CPP) certification
  • Excellent organizational, analytical, and time management skills.
  • Ability to communicate effectively and work collaboratively with other departments.
