Job summary

VillageMD is seeking a Patient Service Representative to greet patients, manage the registration process, and handle inquiries with professionalism. You will maintain patient flow, process payments, and support appointment scheduling while coordinating with clinical teams to ensure timely pre-authorizations.

The role emphasizes excellent customer service, strong verbal and written English, and basic computer skills in a Windows environment.

Qualifications

• High School Graduate or GED required.
• Associate Degree preferred.
• Ability to communicate in English, both orally and in writing.
• Must have excellent customer service skills.
• Knowledge of medical office terminology preferred.
• Basic proficiency in computer use; Windows-based environment experience preferred.
• Experience with EHR, Practice Management System and Departmental/Ancillary Systems preferred.

Responsibilities

• Greets visitors, patients and families in a friendly, professional manner and directs them appropriately.
• Maintains efficient patient flow through registration and provides excellent customer service.
• Answers the telephone promptly, directs calls, takes accurate messages and delivers to the appropriate person.
• Informs patients of delays in physician schedules and assists with patient comfort.
• Posts self-pay charges, collects payments, reconciles daily payments and receipts.
• Opens and closes batches, reconciles collections and prepares deposits.
• Scans insurance cards, processes verifications and updates patient accounts.
• Schedules appointments accurately per guidelines and confirms future appointments.
• Works with clinical staff to ensure timely pre-authorizations and completes referrals.
• Performs general clerical duties and supports other office locations as needed.
