Job summary

Virginia Oncology Associates seeks a Patient Services Coordinator to support our Virginia Beach offices. You will be the first face patients see, handling check-ins, scheduling, and front-desk duties in a fast-paced oncology/hematology setting.

The ideal candidate has receptionist or medical office experience, proficiency with Microsoft Office, and a readiness to travel to other office locations if needed. This is a full-time, in-person role with benefits and competitive compensation.

Qualifications

  • Reception or office experience preferred.
  • 3 years of medical office experience with scheduling background preferred.
  • Proficiency with computer systems and Microsoft Outlook, Word, and Excel.

Responsibilities

  • Greets patients and visitors; checks in patients.
  • Explain and collect patient paperwork; file forms; update demographics and insurance.
  • Answer and route routine questions; take messages; notify clinic staff.
  • Check out patients; schedule return appointments; provide details.
  • Record cancellations and reschedule; note in patient chart.
  • Provide general admin support; maintain lobby; keep forms and supplies.
  • Adhere to confidentiality and HIPAA laws.
  • Other duties as assigned.

Overview

Virginia Oncology Associates, the largest group of medical professionals in Hampton Roads and Northeast North Carolina devoted exclusively to cancer care and blood disorders has an exciting opportunity for a Patient Services Coordinator to support our offices in Virginia Beach.

Employment Type: Full-Time, I n-Person

Benefits: M/D/V, Life Ins., 401(k)

Compensation Range: $17.10/hr - $21.05/hr

Actual compensation will be determined based on job-related factors such as, relevant experience, education, certifications, licensure, and skills that align with the role.

Responsibilities
  • Greets patients and visitors to the clinic in a prompt, courteous and professional manner. Checks in patients and informs clinical staff of patient arrival.
  • Provides and explains paperwork for the patient to complete prior to examination. Collects, proofs for completeness, and files patient forms. Updates demographics and insurance information in the system. Collects co-pays and balances; provides receipt.
  • Answers, screens, and responds to routine questions, routes to appropriate personnel, or take thorough messages. Pages clinic personnel as appropriate. Communicates messages in an accurate and timely manner according to procedures.
  • Checks patients out after examination. Schedules returning appointments in accordance with physician and/or office guidelines. Provides patients with appointment details such as time, location, directions, instruction sheets, and other details.
  • Records patient cancellations and missed appointments; reschedules appointments. Notifies appropriate staff of the cancellation and makes note in patient chart.
  • Provides general administrative support by filing charts and forms. Maintains lobby area in a neat and orderly manner. Maintains a legible supply of forms and appropriate office supplies required for daily activities.
  • Adheres to confidentiality, state, federal, and HIPPA laws and guidelines with regards to patient’s records.
  • Other duties as requested or assigned.
Qualifications
  • Receptionist or office experience preferred
  • 3 years of medical office experience with scheduling background in a busy practice strongly preferred
  • Proficiency with computer systems and Microsoft (Outlook, Office Word, and Excel) required
  • High school diploma or equivalent
  • Must be willing to travel to other office locationsif needed
PHYSICAL DEMANDS:

The position requires standing and walking for extensive periods of time. The employee occasionally lifts and carries items weighing up to 40 lbs. The position requires corrected vision and hearing to normal range.

WORK ENVIRONMENT:

The work environment may include exposure to communicable diseases, toxic substances, ionizing radiation, medical preparations and other conditions common to an oncology/hematology clinic environment. Work will involve in-person interaction with co-wo rkers and management and/or clients. Work may require minimal travel by automobile to office sites.
