Base pay range

$20.00/yr - $25.00/yr

TheraSWIM is seeking a compassionate and dedicated Patient Services Coordinator to join our growing team! Our mission is to provide aquatic therapy, adaptive swim, and a variety of therapeutic services for children with special needs. Position Responsibilities:

  • Patient Reception and Scheduling: Greet and check in patients upon arrival, manage scheduling and rescheduling to ensure all necessary services are provided, and serve as a central resource for patient needs.
  • Patient Intake and Onboarding: Oversee the onboarding process for new patients, managing intake paperwork, and guiding families through the necessary steps to begin services.
  • Phone and Communication Management: Answer, screen, and forward calls; return calls promptly; and address patient and family inquiries with care and professionalism.
  • Care Plan and Medicaid Coordination: Lead the process for plan of care and Medicaid prior authorizations, including timely submission of documents and proactive follow-ups with physicians and other offices.
  • Office Maintenance and Safety: Maintain a clean, safe environment by disinfecting common areas and assisting with pool chemical checks and maintenance as needed.
  • Additional Duties: Perform opening or closing duties as required, and be a resourceful, flexible team member in our dynamic office setting.
  • Hours: We are hoping to find someone that can open 3 days/week and close 2 days/week. Opening hours would be approximately 7:30-4 and Closing hours would be 11-6:30 or 7:30 depending on the day.

Required Skills and Qualifications:

  • Previous experience as a receptionist, front office representative, or similar role preferred.
  • Familiarity with Medicaid authorization and medical billing processes is a plus.
  • Exceptional written and verbal communication skills.
  • Strong organizational, multitasking, and time-management abilities.
  • Professional attitude, appearance, and a customer-service-oriented mindset.
  • Ability to work independently, prioritize effectively, and remain resourceful when addressing challenges.
  • Team-oriented with an outgoing personality and positive attitude.
  • Spanish fluency is a plus, as it will enhance our ability to communicate with and support a diverse group of patients and families.
  • High school diploma or equivalent required; additional training or certification in medical billing/office management is an advantage.
