Overview

The US Oncology Network is looking for a Patient Services Coordinator to join our team at Texas Oncology. This full-time position will support our Longview clinic at 1300 North 4th Street. Typical work hours are Monday - Friday; 8:00am to 5:00pm. There is possible travel to Marshall, TX on occasion.

This position can be either a level 1, 2 or Sr based on relevant work experience.

What does the Patient Services Coordinator do? (including but not limited to)

The Patient Service Coordinator professionally greets and welcomes patients and their friends/family. Registers and schedules appointments efficiently. Answers, screens, and directs all incoming calls, relaying messages between patients and clinical staff. Supports and adheres to the US Oncology Compliance Program, including the Code of Ethics and Business Standards, and US Oncology’s Shared Values.

Responsibilities

The essential duties and responsibilities (including but not limited to):

  • Greets patients and visitors promptly, courteously, and professionally. Checks in patients and informs clinical staff of patient arrival.
  • Provides and explains paperwork for patients, collects, verifies completeness, and files patient forms. Updates demographics and insurance information. Collects co-pays and balances, providing receipts.
  • Answers, screens, and responds to routine questions, routes calls as appropriate, and takes thorough messages. Communicates messages accurately and timely.
  • Checks patients out after examination. Schedules follow-up appointments per physician/office guidelines. Provides appointment details and directions.
  • Records cancellations and missed appointments; reschedules as needed. Notifies staff of cancellations and updates patient charts.
  • Provides general administrative support, maintains a neat lobby, and ensures availability of forms and supplies.
  • Adheres to confidentiality, HIPAA, and related laws regarding patient records.
  • Other duties as assigned, including typing memos and forms. No more than five high-level duties.
Qualifications

The ideal candidate will have the following background and experience:

Level 1
  • High school diploma or equivalent.
  • Some receptionist or office experience preferred.
  • Proficiency with computer systems and Microsoft Office (Outlook, Word, Excel).
  • Must complete required e-learning courses within 90 days.
Level 2 (including Level 1 requirements)
  • At least 18 months front medical office receptionist experience, including handling insurance forms and scheduling software.
  • Knowledge of practice routines and personnel a plus.
Level Sr (including Level 1 and 2 requirements)
  • At least 5 years front medical office receptionist experience.
Physical Demands

Requires sitting, using hands, occasional standing, walking, reaching, and lifting up to 30 pounds. Vision and hearing should be corrected to normal ranges.

Frequent interaction with patients and staff. Accommodations available for disabilities.
