Job summary

CardioOne is seeking a Patient Service Representative Team Leader to be the first point of contact for patients and visitors, delivering excellent customer service and administrative support. You will manage employee and doctor schedules, coordinate patient inquiries, maintain records, and assist in various office tasks.

Qualifications

  • High school diploma or equivalent required; medical office certification a plus.
  • Experience as a receptionist or in customer service, preferably healthcare.
  • Familiarity with medical terminology and procedures.
  • Strong interpersonal and communication skills.
  • Proficiency with scheduling software and EHR systems.

Responsibilities

  • Oversee patient reception and ensure positive interactions for visits and testing.
  • Manage daily schedules and coordinate with physicians and staff to maintain patient flow and provider workload.
  • Resolve scheduling issues and patient concerns using system tools.
  • Perform front desk duties including check-in/out, scheduling, and chart prep.
  • Supervise Patient Services staff: training, guidance, performance coaching, and staffing.
  • Maintain secure cash handling procedures and communicate with Practice Administrator.

What you’ll do
  • Oversee patient reception and ensure positive patient interactions for services such as visits and diagnostic testing.
  • Manage daily schedules and coordinate with physicians, nurses, and department leaders to maintain efficient patient flow and provider workflow.
  • Resolve scheduling issues and patient concerns using system tools.
  • Perform front desk duties as needed, including check-in/out, scheduling, and chart prep.
  • Supervise Patient Services staff, including:
    • Training and onboarding new team members
    • Providing guidance and support
    • Fostering a positive team environment
    • Coaching for performance and teamwork
    • Conducting performance evaluations and counseling as needed
    • Managing staffing levels and approving time-off requests
    • Ensuring staff compliance with tools, policies, and procedures
    • Serving as a liaison among staff, physicians, Practice Administrator, and other leaders
  • Maintain secure cash handling procedures.
  • Communicate issues or suggestions to the Practice Administrator.
  • Support electronic health record processes, including SRS scanning.
What you’ll need
  • High school diploma or equivalent; additional education or medical office certification is a plus
  • Proven experience as a receptionist or in a customer service role, preferably in a healthcare setting
  • Familiarity with medical terminology and procedures
  • Strong interpersonal and communication skills
  • Proficiency in using scheduling software, electronic health records (EHR) systems, and basic office software (e.g., Microsoft Office)
  • Excellent organizational skills and attention to detail
  • Ability to multitask and handle a fast-paced environment
  • Empathetic and patient-focused approach
  • Professional appearance and demeanor
  • Athena experience preferred
Additional Information
Full-time hourly range of $17-$22 per hour plus medical, dental, and vision benefits. This role will include a matching 401K, 12 days Paid Time Off, and 8 Paid Federal Holidays.

You will work out of the Hinsdale, IL located at 333 West Chestnut, Suite 100.
