Job summary

CardioOne's Midwest Cardiovascular Institute (MCI) is seeking a highly motivated Patient Access Representative to join our team! You will serve as the first point of contact for patients and visitors, providing exceptional customer service and administrative support to ensure the smooth operation of the office.

You will be operating a multi-line switchboard, directing calls and scheduling patient appointments according to clinic guidelines.

Qualifications

• High school diploma or equivalent; additional medical office certification is a plus.
• Proven receptionist or customer service experience, preferably in healthcare.
• Familiarity with medical terminology and procedures.
• Experience with a multi-line switchboard preferred.
• Strong interpersonal and communication skills and ability to multitask.

Responsibilities

• Answer 100-150 incoming calls daily.
• Accurately schedule appointments and route messages to the correct team.
• Ensure proper documentation in the medical record.
• Meet performance goals (e.g., 85% calls answered in under 30 seconds).
• Perform other duties to support clinic operations.

About the Job

CardioOne's newest practice, Midwest Cardiovascular Institute (MCI), is seeking a highly motivated Patient Access Representative to join our team! You will serve as the first point of contact for patients and visitors, providing exceptional customer service and administrative support to ensure the smooth operation of the office. You will be operating a multi-line switchboard, directing calls and scheduling patient appointments according to clinic guidelines.

What you’ll do:

• Answer 100-150 incoming calls daily.
• Accurately schedule appointments and route messages to the correct team.
• Ensure proper documentation in the medical record.
• Meet performance goals (e.g., 85% calls answered in under 30 seconds, less than 10% abandonment rate).
• Perform other related duties as needed to support clinic operations.

What you’ll need:

• High school diploma or equivalent; additional education or medical office certification is a plus
• Proven experience as a receptionist or in a customer service role, preferably in a healthcare setting
• Familiarity with medical terminology and procedures
• Experience with a multi-line switchboard preferred
• Strong interpersonal and communication skills
• Proficiency in using scheduling software, electronic health records (EHR) systems, and basic office software (e.g., Microsoft Office)
• Excellent organization skills and attention to detail
• Ability to multitask and handle a fast-paced environment
• Empathetic and patient-focused approach
• Professional appearance and demeanor
• Athena experience preferred

Additional Information

Full-time range starting at $17.87 to $22.50 (commensurate with experience) per hour plus medical, dental, and vision benefits. This role will include a matching 401K, 12 days Paid Time Off, and 8 Paid Federal Holidays.

You will work out of the Warrenville, IL office located at 4201 Winfield Rd, 4th Floor, Warrenville, IL.
