Job summary

CardioNow, based in Lynnwood, WA, is seeking a Patient Service Representative to serve as the first point of contact, managing appointments and patient inquiries while supporting administrative tasks in a fast-paced cardiology setting.

You will handle check-ins, verify insurance details, coordinate the appointment calendar, and ensure accurate record-keeping in the EHR system, all while upholding HIPAA standards and delivering outstanding patient service.

Qualifications

  • High school diploma or equivalent; medical office certification a plus.
  • Experience as receptionist or in customer service, preferably healthcare.
  • Familiarity with medical terminology and procedures.
  • Strong interpersonal and communication skills; ability to multitask in a fast-paced environment.
  • Proficiency with scheduling software, EHR systems, and MS Office.
  • Empathetic, patient-focused approach and professional appearance.

Responsibilities

  • Oversee front desk operations of the cardiology practice.
  • Warmly greet patients and visitors as they arrive.
  • Assist with check-in, verify patient information and insurance details.
  • Manage appointment calendar using scheduling software.
  • Coordinate appointments for new and returning patients; reschedule or cancel as needed.
  • Answer incoming calls and respond to emails professionally.
  • Address patient inquiries and assist with prescriptions and services.
  • Collect and update patient demographic and insurance information.
  • Verify insurance coverage and ensure documentation is complete.
  • Maintain and update patient records with confidentiality.
  • Organize and file medical documents and correspondence.
  • Monitor waiting area and inform staff of delays or emergencies.
  • Enter patient information into the EHR system accurately.
  • Collaborate with medical staff to ensure seamless patient experience.
  • Maintain HIPAA compliance and patient confidentiality.
  • Handle patient concerns empathetically and professionally.

About The Job

At our rapidly growing practice, CardioNow, we are seeking a highly motivated Patient Service Representative to join our team! You will serve as the first point of contact for patients and visitors, providing exceptional customer service and administrative support to ensure the smooth operation of the office. You are responsible for managing appointments, coordinating patient inquiries, maintaining accurate records, and assisting in various administrative tasks. This role will be more of a call center Patient Service Representative. You will report directly to the Chief of Staff.

What You’ll Do:

  • Oversee front desk operations of the cardiology practice
  • Warmly greet patients and visitors as they arrive
  • Assist with the check-in process, verifying patient information and insurance details
  • Manage the appointment calendar using scheduling software, ensuring optimal time utilization and minimizing patient wait times
  • Coordinate appointments for new and returning patients and reschedule or cancel them when needed
  • Answer incoming phone calls and respond to emails in a courteous and professional manner
  • Address patient inquiries, provide information about services, and assist with prescription refill requests
  • Collect and update patient demographic and insurance information accurately
  • Verify insurance coverage and ensure necessary documentation is complete
  • Maintain and update patient records, ensuring accuracy and confidentiality
  • Organize and file medical documents, test results, and correspondence
  • Keep the waiting area clean and organized, ensuring patients are comfortable while waiting
  • Monitor the flow of patients in the waiting area and inform medical staff of any delays or emergencies
  • Enter patient information, appointments, and other relevant data into the office's electronic health records (EHR) system to maintain accurate and up to date records
  • Work closely with medical staff, nurses, and other administrative personnel to ensure a seamless patient experience
  • Maintain patient confidentiality and adhere to privacy regulations, such as HIPAA
  • Handle patient concerns and complaints in a professional and empathetic manner

What You’ll Need:

  • High school diploma or equivalent; additional education or medical office certification is a plus
  • Proven experience as a receptionist or in a customer service role, preferably in a healthcare setting
  • Familiarity with medical terminology and procedures
  • Strong interpersonal and communication skills
  • Proficiency in using scheduling software, electronic health records (EHR) systems, and basic office software (e.g., Microsoft Office)
  • Excellent organizational skills and attention to detail
  • Ability to multitask and handle a fast-paced environment
  • Empathetic and patient-focused approach
  • Professional appearance and demeanor
  • Athena experience preferred

Additional Information

Starting at $23 per hour plus medical, dental, and vision benefits. This role will include a matching 401K, 12 days Paid Time Off, and 8 Paid Federal Holidays.
