Job summary

Charlotte Radiology is seeking a Patient Representative to provide day-to-day administrative support at outpatient radiology sites, handling check-in, patient reception, registration, payments, and scheduling. The role supports onboarding and training of new staff and acts as the first point of contact for patients to ensure an exceptional experience.

The position emphasizes teamwork, accuracy in patient data, and efficient office flow, with a Monday–Friday schedule in Charlotte, NC.

Qualifications

  • Customer service experience required.
  • 1+ years’ medical office experience preferred - Familiarity with outpatient clinical setting and patient registration workflows, familiarity with medical terminology.
  • High school diploma required.
  • Excellent customer service, both internal and external.
  • Ability to work independently and as part of a team.
  • Excellent time management and organizational skills.
  • Ability to thrive in a fast-paced environment.
  • Primarily sitting; standing and walking as needed.
  • Lift up to 25lbs.
  • Possible exposure to radiation, infectious disease, bloodborne pathogens.
  • Overtime as needed depending on business need.
  • Shifts subject to variation depending on business need.

Responsibilities

  • Check-in, including patient reception and registration.
  • Collect payments and/or establish payment plans at the time of service.
  • Answer, investigate and/or direct patient inquiries or complaints.
  • Schedule patient appointments and procedures.
  • Manage incoming phone calls and assist patients, referring providers, and colleagues.
  • Send appointment confirmations and follow up on missed visits.
  • Coordinate with clinical staff to maintain office flow.
  • Work with centralized teams for authorizations, financial estimates, and orders.
  • Assist managers and lead staff with onboarding and training.
  • Support other patient representatives and clinic staff as needed.
  • Perform other duties as assigned.

Shift: Monday to Friday 7:30 am - 4:30 pm

Location: Medical Center Plaza - Charlotte, NC

POSITION SUMMARY: The Patient Representative provides day-to-day administrative support to our outpatient radiology imaging sites to maintain office flow and efficiency. The Patient Representative is responsible for check-in, including patient reception and registration, collecting payments, and scheduling exams for patients as needed. They also assist with onboarding and training new employees. This position is the first point of contact for patients as they arrive for their appointments and therefore plays an integral role in delivering an exceptional patient experience.

Essential Duties and Responsibilities:

  • Responsible for patient reception and registration, including preparation of patient paperwork and maintaining demographic and insurance information in electronic records system(s)
  • Collects payments and or/establish payment plans at the time of service
  • Answers, investigates and/or directs patient inquiries or complaints to appropriate parties
  • Schedules patient appointments and procedures
  • Manages incoming phone calls, acting as a resource for patients, referring providers, and colleagues
  • Conducts outgoing patient correspondence, including appointment confirmations and following up on missed visits to ensure patients are seen in a timely manner
  • Effectively communicates with other Patient Representatives and clinical staff to help maintain office flow and efficiency
  • Works with centralized teams to ensure necessary authorizations, financial estimates, and orders are on file
  • Assists Patient Representative Managers and Lead Patient Representatives with onboarding and training new employees
  • Proactively assists other Patient Representatives and clinic staff with questions or tasks
  • Other duties as assigned
