Carbon Health Technologies Inc. is seeking a Medical Staff Support professional for a full-time, hourly front-desk role in Santa Clara. You will be the first point of contact for patients, handling calls, scheduling, check-in/out, and payments while coordinating with clinical staff to ensure smooth patient flow.

The position requires strong communication, multitasking, and HIPAA compliance, with a 9-hour shift Monday through Friday. EHR experience is a plus and professionalism is essential.

Qualifications

• Previous experience in a medical office, clinic, or healthcare setting is preferred.
• Proficiency handling multiple phone lines and high call volumes.
• Experience scheduling appointments using scheduling or practice management systems.
• Ability to manage voicemail, fax, scanning, and basic office equipment with accuracy.

Responsibilities

• Answer and manage multiple phone lines and direct to appropriate staff.
• Schedule, reschedule, and confirm patient appointments.
• Monitor and respond to voicemail messages promptly.
• Fax, receive, and distribute documents and medical records as needed.
• Check in/out patients and verify demographics and insurance information.
• Collect co-pays and other payments and process them accurately.
• Coordinate patient flow with clinical and back-office staff to minimize wait times.
• Assist staff with basic non-clinical tasks to support patient care.
• Maintain a clean, professional front desk and reception area.
• Protect patient confidentiality and follow HIPAA policies.
