Responsibilities

• Greet patients, customers, and vendors in a friendly, professional manner; act as the primary point of contact.
• Answer calls and respond to inquiries; manage emails and digital communications promptly.
• Schedule patient appointments and support provider schedule optimization, including cancellations and reschedules.
• Send appointment confirmations and reminders to reduce no-shows.
• Verify insurance eligibility and patient demographics; enter data in EMR accurately.
• Explain coverage, benefits, and patient financial responsibility clearly.
• Prepare patient charts and documentation prior to visits for smooth flow.
• Record charges, co-pays, and payments in EMR; allocate balances and assist with claim submission.
• Run reports to ensure charges are billed and up to date.
• Monitor daily patient flow and adjust schedules to prevent bottlenecks.
• Communicate wait times and next steps to patients to maintain a positive experience.
• Coordinate with clinical and optical teams for smooth transitions.
• Assist in patient retention through follow-up, recall, and reactivation efforts.
• Maintain an organized, clean, and patient-ready front office environment.
• Perform other duties as assigned by the Practice Manager, Assistant Practice Manager and/or Optometrist.
